Job summary

Ultimate Staffing is assisting a growing manufacturer and design-build organization in the Greater Sacramento area to hire a detail-oriented Talent Acquisition Specialist who will support recruiting and onboarding from offer through Day 1 orientation.

You will manage background checks, drug screens, onboarding documents, and candidate communications in a fast-paced environment while maintaining a high level of professionalism and confidentiality.

Qualifications

• 3-5+ years in recruiting coordination, talent acquisition, human resources, or related field.
• Hands-on experience coordinating background checks, drug screenings, verifications, and onboarding.
• Experience preparing onboarding documents and supporting first-day activities.
• Strong understanding of recruiting processes and candidate lifecycle management.
• Experience using an Applicant Tracking System (ATS).
• Excellent organizational and communication skills.
• Ability to handle confidential information with discretion and professionalism.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).

Responsibilities

• Coordinate all pre-employment and onboarding activities for new hires.
• Manage candidate communications throughout the hiring process, including scheduling interviews, coordinating onsite visits, and providing timely follow-up.
• Prepare onboarding paperwork, employment documentation, and new hire files.
• Coordinate and track background checks, drug screens, physicals, verifications, references, and other requirements.
• Ensure onboarding steps are completed before start dates.
• Prepare Day 1 onboarding materials and support a smooth transition to HR.
• Maintain accurate candidate records in the ATS and monitor recruiting workflows.
• Proactively identify delays, gaps, or tasks needing attention in the process.
• Support recruiters with candidate pipelines and data accuracy.
• Coordinate travel arrangements and interview logistics as needed.
• Review data for inconsistencies and take corrective action when necessary.
• Handle confidential information with professionalism and discretion.
• Collaborate with Talent Acquisition, HR, hiring managers, and operations to ensure efficient hiring.
