Job summary

SUNY Downstate Health Sciences University seeks a full-time Personnel Associate focused on Talent Acquisition and Onboarding. You will manage recruitment for voluntary appointments, temporary assignments, and NYS employees, including posting jobs, onboarding candidates, and verifying qualifications.

Reporting to the Assistant Director of Human Resources, you will coordinate background checks, immigration matters, and onboarding documentation, ensuring compliance with civil service regulations

Qualifications

• Bachelor's degree or equivalent in personnel, business administration, public administration, or related field.
• 1–3 years of professional experience in personnel, preferably in higher education or the public sector.
• Working knowledge of one or more personnel functional areas.

Responsibilities

• Provide administrative support to the Talent Acquisition team and assist with projects and initiatives.
• Assist with recruitment activities including posting jobs and connecting with hiring managers.
• Ensure positions are filled via the civil service process and regulations are followed.
• Handle onboarding of new hires, data entry, and review of employment documents.
• Coordinate preliminary offers, schedule onboarding appointments, and send onboarding materials.
• Review background checks for accuracy and minimum qualifications; obtain required clearances.
• Maintain HR system records and process HR transactions (new hires, promotions, etc.).
• Liaise with external vendors for contingent staff resources and immigration matters.
• Maintain immigration records and coordinate with SUNY Downstate immigration counsel.
