Job summary

Penn Medicine is seeking a Procedure Scheduler to coordinate surgical and specialty procedures, manage pre-authorizations, and ensure accurate scheduling aligned with physicians’ calendars.

The ideal candidate will bring experience in a surgical/medical office environment, strong communication skills, and proficiency in CPT/ICD coding, with Spanish language abilities benefiting patient interactions.

Qualifications

• High School diploma or equivalent required.
• Three or more years experience in a medical office setting.
• Strong computer skills including Excel and Word.
• Strong communication skills.
• Bi-lingual Spanish.
• Prior pre-authorization experience.
• Knowledge of CPT codes and ICD codes.
• Attention to detail and ability to multi-task.

Responsibilities

• Schedules patient procedures in coordination with physicians and staff.
• Obtains necessary pre-authorizations for procedures.
• Assists in preparation of procedure orders and ensures required consents.
• Reviews pre-procedure checklists and tests for completeness.
• Coordinates all appointment-related activities (pre-op classes, testing, follow-ups).
• Communicates changes or cancellations to patients and providers and reschedules as needed.
• Assists with coordination of physicians’ schedules and office activities.
• Other duties as assigned.
