Job summary

UPMC Mercy is seeking a full-time Surgery Scheduler to support our surgical services team. The role focuses on coordinating surgical procedures and keeping daily operations running smoothly through timely scheduling and clear communication.

This daylight position has no holiday, travel, or on-call requirements, with occasional weekend coverage as needed. Previous scheduling experience is preferred and being organized and detail-oriented helps ensure high-quality patient care.

Responsibilities

• Work with department to troubleshoot procedural and operations issues.
• Coordinate and monitor patient follow-up through the Refract Tracker and EPIC.
• Prepare admissions reservations with demographics and insurance details to hospitals.
• Coordinate cases and obtain hospital admission approvals.
• Discuss and coordinate financial arrangements prior to surgery, including pre-payments.
• Ensure informed consents are signed.
• Provide pre- and postoperative instructions per service guidelines.
• Coordinate patient education seminars and schedule physicians accordingly.
• Collect data for research studies.
• Schedule pre-screening exams, diagnostic tests, postoperative appointments, and cases.
• Ensure billing and insurance information is current and accurate.
• Complete special projects as assigned.
• Act as liaison between patient and referring physicians.
• Obtain pre-certification/referral prior to the date of the procedure.
• Coordinate and track internal and external marketing efforts.
• Attend and schedule department meetings.
• Answer inquiries regarding surgery and provide educational materials.
