Job summary

Bend Surgery Center in Bend, OR is seeking a detail-oriented Scheduling Specialist to coordinate surgical, GI, and pain-management procedures. You will manage time blocks, coordinate with physician offices, and ensure timely information flow to physicians and staff.

This on-site role requires a high school diploma, 2+ years in the medical field, and excellent communication and teamwork in a fast-paced environment. Proficiency with Microsoft Office is expected.

Qualifications

  • High school diploma or equivalent.
  • At least two (2) years' experience in some aspect of the medical field to assure familiarity with medical terminology.
  • Previous experience with scheduling surgical procedures is preferred.
  • Excellent communication skills and ability to interact with Bend Surgery Center staff, external customers, clients and potential employees.
  • Strong teamwork and collaborative skills.
  • High attention to detail.
  • Computer literate with working knowledge of Microsoft Office products.

Responsibilities

  • Schedules surgical, gastroenterological (GI), and pain-management procedures.
  • Coordinates scheduling requests for time and equipment.
  • Notifies Nurse Manager of special messages from physician offices.
  • Works with physician offices to manage the surgery schedule.
  • Provides accurate, timely information to physicians and stakeholders.
  • Coordinates processes to meet physician and facility requirements.
  • Acts as a primary liaison for physician offices regarding patient information.
  • Manages physician blocks; releasing and filling blocks as needed to increase patient census.
  • Coordinates with Materials Management and Sterile Processing to ensure supplies and equipment are available for cases.
  • Confirms schedule of patients with physician offices.
  • Provides schedule changes or cancellations to facility staff.
  • Coordinates patient information with business office including Medical Records and Insurance verification.
  • Requests patient records as required by the Physician.
  • Adheres to safety policies and PHI/HIPAA protections of patient information.
  • Follows policies including attendance, timeliness, and safeguarding confidential information.
  • Reports incidents in a timely manner.
  • Promotes patient and employee safety and communicates concerns following Chain of Command.
  • Attends in-service programs as requested.
  • Performs other related duties as directed.

Job description

  • Schedules all surgical, gastroenterological (GI), and pain-management procedures
  • Has knowledge and understanding of the surgery schedule and the format utilized by the center
  • Coordinates specific scheduling requests for time and equipment
  • Notifies Nurse Manager of special messages from physician's office
  • Works effectively with physician offices to manage the surgery schedule
  • Provides accurate, timely and responsive information to Physicians and other stake holders
  • Coordinates processes as required to meet physician and facility requirements
  • Acts as a primary liaison for physician offices regarding patient information
  • Manages physician blocks; releasing and filling blocks when necessary to increase patient census
  • Coordinate with Materials Management and Sterile Processing to ensure required supplies and equipment are available for cases
  • Confirm schedule of patients with physician offices
  • Provide appropriate facility staff with information, schedule changes or cancelations
  • Coordinate patient information with business office personnel including Medical Records and Insurance verification
  • Requests patient records as required by the Physician
  • Adheres to safety policies and practices good body mechanics and ergonomics
  • Follows all rules and regulations for PHI and HIPAA protections of patient information
  • Follows all policies and procedures, including, but not limited to, attendance, timeliness, and safeguarding confidential information
  • Reports incidents in a timely manner
  • Promotes patient and employee safety and communicates concerns appropriately, following Chain of Command
  • Attends in-service programs as requested
  • Performs other related duties as directed
Requirements
  • A high school diploma or equivalent is required
  • At least two (2) year's experience in some aspect of the medical field to assure familiarity with medical terminology

  • Must have excellent communication skills and ability to effectively interact and communicate with all levels within Bend Surgery Center and external customers, clients and potential employees

  • Must have knowledge of and ability to perform basic office skills
  • Must have exemplary customer service skills
  • Must be organized, flexible and versatile with the ability to function effectively in stressful situations.
