Job Opportunity: Supervisory Medical Support Assistant

The Portland, OR VA Medical Center is seeking to fill a Supervisory Medical Support Assistant position within the Department of Health and Specialty Medicine (DHSM).

This announcement generates a list that can be used for up to 90 days to fill additional vacancies that may arise.

Duties

Overview: Supervisory Medical Support Assistants (SMSA) provide administrative support to clinical staff, ensuring efficient healthcare services for our Nation's Veterans. They play a vital role in promoting timely, accurate, and accessible healthcare, contributing to VA's mission of delivering high-quality care. SMSAs may be assigned across various service lines within the medical center and must demonstrate strong collaboration, communication, customer service, and interpersonal skills to ensure quality care and compliance with policies.

Key Responsibilities include but are not limited to:

  • Supervising and providing administrative support to medical support staff.
  • Assigning work, conducting performance evaluations, and participating in staff development.
  • Collaborating with internal and external customers to ensure continuity of care.
  • Managing fiscal matters, forecasting resource needs, and overseeing budget requirements.

Basic Requirements
  • United States Citizenship: Non-citizens may be appointed only when qualified citizens cannot be recruited, per VA Policy.
  • English Language Proficiency: Must be proficient in spoken and written English, as per VA Handbook 5005, part II, chapter 3.
Specialized Experience

At least one year of specialized experience at the GS-7 level or equivalent, leading or supervising MSAs or administrative patient support staff in inpatient, outpatient, or interdisciplinary settings.

Knowledge, Skills, and Abilities (KSAs)
  • Ability to perform administrative and supervisory duties, including work assignment, performance evaluation, staffing, and recommending awards or promotions.
  • Strong collaboration, communication, and customer service skills to ensure quality and compliance.
  • Experience in providing briefings, orientations, staff development, and training.
  • Ability to manage fiscal matters, forecast resources, and identify budget needs.
  • Advanced knowledge of managing patient support staff, decision-making, and problem resolution in complex environments.

The full performance level of this vacancy is GS-08.

Physical Requirements
