Overview

The Supervisor, Operations is responsible for large clients, has a holistic view of the clients’ objectives and processes, project‑manages key timelines and deliverables, and provides insight on staffing related to work scope and financials. This is a hybrid role, requiring three days in‑office each week.

Responsibilities

• Accountable for the lifecycle of financial deliverables from project start to invoicing, including ad‑hoc reporting.
• Manage monthly invoicing and client‑mandated financial documentation (accruals, reconciliations, tracking software).
• Create, relay, and adhere to client best practices for scoping, invoicing, and financial tracking; own revision or enhancement of those processes.
• Serve as the day‑to‑day point of contact for key client deliverables.
• Maintain the financial deliverables calendar and ensure the internal team is kept apprised of status on all jobs.
• Draft and update billing calendars.
• Organize financial deliverables and route materials for internal review or approval as needed.
• Gather data and send updates, notes, or reminders to the team.
• Scope and develop working media statements of work and fee statements of work, including intercompany statements.
• Read and interpret Master Service Agreements (MSAs).
• Implement rollout of new systems and processes across clients.

Qualifications

• Minimum of 3+ years in operations or project management in a media agency setting.
• 0–1+ year management experience (previous intern management experience is applicable).
• 2+ years budget management experience with operational tools and/or reporting.
• Optional: HCP/Pharma media experience (background may include planning or investment).

Benefits and Compensation

Compensation Range: USD $60,800.00 – $84,000.00 per annum. Temporary roles may participate in the medical plan and 401(k) after meeting eligibility criteria.
