Responsibilities

  • Support daily studio operations, scheduling, classes, instructors, and client needs.
  • Work in Sawyer and Acuity to manage registrations, rosters, appointments, schedules, client accounts, and class information.
  • Assist with client emails, phones, in-person support, and explaining Catapult services to prospective clients.
  • Help maintain inbox and ensure timely professional responses.
  • Lead coverage for on-site studio opening and closing duties on some days.
  • Maintain accurate spreadsheets, data, calendars, and shared files using Google Workspace/Drive.
  • Assist in planning class semesters and sessions, including dates, descriptions, and materials.
  • Organize outreach and scheduling for Teaching Assistants for youth/teens.
  • Support coaches and staff with on-site needs and schedule changes.
  • Keep studio organized, stocked, and prepared, including light housekeeping as needed.
  • Ensure instructors, TAs, classrooms, and materials are ready for upcoming classes.
  • Flexible in taking on additional duties to help clients and team.

About the job

Catapult Acting Studios is a busy, growing TV and Film acting studio serving youth, teen, and adult actors through audition coaching and taping, training via classes, Conservatory program, private coaching, workshops, camps, and industry events, and other services like Industry Consultations, Actor Headshots, and more. We are a small, collaborative team committed to providing world‑class acting training services and a highly professional, welcoming experience for clients of all ages.

We are looking for one full-time or two part‑time Studio Support Assistants (approximately 20–25 hours per week each if part‑time). This is a 100% in‑person position at our Atlanta studio; remote work is not available.

We’re looking for resourceful, organized self‑starters who figure things out, anticipate needs, and solve problems.The right person can work independently, smoothly shift priorities when plans change, and notice what needs attention without always waiting to be asked.

RESPONSIBILITIES:

  • Support daily studio operations, scheduling, classes, instructors, and client needs.
  • Work regularly in Sawyer (class management software) and Acuity (private appointment software) to manage registrations, rosters, appointments, schedules, client accounts, and class information.
  • Get to know our clients and serve them well with patience, kindness, organization and intelligence. Assist with client emails, phones, in‑person support, other communications, and help prospective clients learn what we do and explain why Catapult could be a good fit for them.
  • Help maintain the info@catapultacting.com inbox, coordinated with the team, to ensure timely and professional responses.
  • Lead coverage for on‑site studio opening, answering phones and general support on some days, and closing studio on other days.
  • Maintain accurate spreadsheets, data, calendars, and shared files using Google Workspace/Drive and/or other future tools.
  • Assist in planning class semesters and sessions, including dates, descriptions, and materials.
  • Keep track of outgoing emails we need to send to current students, Conservatory students, and several other segments of clients and non‑clients. Need information organized and planned proactively.
  • Support coaches and staff with real‑time studio needs, including room availability, schedule changes, and accommodating a variety of on‑the‑spot needs.
  • Help keep the studio organized, stocked, and prepared for what’s coming next, including opening and closing responsibilities as needed (we have weekly cleaning service, but some duties will require light housekeeping throughout the week in between cleanings).
  • Help ensure instructors, TAs, classrooms, and materials are ready for upcoming classes.
  • Organize and secure Teaching Assistants for youth and teen classes, including outreach, scheduling, communications, assignments, and tracking.
  • Help ensure coaches are on track for their private appointments, and do what you can to support them and our clients who are coming in and out for appointments.
  • Proactively identify scheduling, registration, coverage, or operational issues and work to resolve them before they become larger problems.
  • This position might help provide basic creative support using Canva, Mailchimp, iMovie, and other digital tools. If you have these skills, please apply and let us know.

  • Is exceptionally polite, patient, calm, and professional with clients – in person and over the phone—even in challenging or frustrating situations.
  • Communicates clearly and knows when to solve something independently and when to ask for help or elevate, and communicates updates when actions have been taken.
  • Ability to uphold necessary policies (like cancellation policies), which sometimes involves tough conversations with clients.
  • Considering the nature of Catapult and the small, close‑knit team it employs, this position is expected to perform any duties as assigned with pleasure, within reasonable expectations and aligned with the employee’s skills and abilities, with a positive spirit of teamwork.

SKILLS AND EXPERIENCE

  • Strong general computer and technology skills are required. Mac experience is a strong plus.
  • Strong organizational, spreadsheet, and data‑management skills are important.
  • Experience with Google Workspace/Drive and Google Sheets is strongly preferred.
  • Experience with Acuity, Canva, Mailchimp, iMovie, Sawyer or similar platforms is a plus.
  • Must be comfortable independently learning and troubleshooting unfamiliar software using available resources.
  • Comfort and a natural curiosity to use AI tools to identify ways technology can improve efficiency and processes is a strong plus.
  • Strong written and verbal communication skills.
