Texas Division of Emergency Management (TDEM) is seeking a Student Worker to assist in the Business Services Division. You will learn the FAMIS system, enter invoices into AggieBuy, and help maintain reconciliation and reporting through SmartSheets.

Position is limited to current students; work hours vary (up to 40 hours during breaks) and may require travel to the Austin HQ. The role is non-benefits eligible and reports to the Financial Manager, Accounts Payable & Travel.

Qualifications

  • Current student status with an institution of higher education or future student enrollment for the upcoming school semester.
  • Strong organizational and communication skills and ability to multitask.
  • Proficiency in Microsoft Office suite (Word, Excel) and common business tools.

Responsibilities

  • Learn the FAMIS accounting system to maintain agency account records and ensure data integrity.
  • Enter TDEM invoices into AggieBuy and the TDEM ticketing system; assist with AP ticketing.
  • Use SmartSheets to pull and create reports as needed; monitor system interfaces for issues.
  • Investigate and resolve errors; identify discrepancies and report to management promptly.
  • Assist with clerical duties (scanning, copies, mail, scheduling) and support Business Services projects.

Job Description GENERAL DESCRIPTION: The Texas Division of Emergency Management (TDEM) is an emergency response entity, and this status can affect working hours, travel, and change in duties as needed. Under general direction, the Student Worker for the Business Services Division will assist with developing and maintaining a consistent and effective reconciliation and monitoring system to ensure all system interfaces function as intended. Aids Investigating and resolving errors, mis-feeds, and other interface exceptions. This position reports to the Financial Manager, Accounts Payable & Travel. Work is restricted to college students. Priorities or class schedules to be submitted on a weekly basis. Work schedule and work adjustments subject to prior approval. Work is performed at the TDEM Headquarters located in Austin, Texas. **This position is not eligible for benefits. Work hours may increase from, up to 19 hours, to up to 40 hours, in-between semester breaks.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

Learns the FAMIS accounting system to ensure maximum efficiency and effectiveness and to maintain the integrity of the agency’s account records. Helps enter TDEM invoices into AggieBuy and the TDEM ticketing system. Assists with keeping up with the Accounts Payable ticketing system. Work in SmartSheets to assist with pulling and creating reports as needed. Assists in maintaining a consistent and effective reconciliation and monitors system to ensure all system interfaces function as intended. Aid in investigating and resolving errors. Identifies discrepancies and report to management in a timely manner. Performs clerical duties, such as faxing documents, making copies, printing documents, scanning, preparing correspondence, coordinating, and scheduling meetings, scribing during meetings, retrieving mail, and messages. Provides support and contributes to Business Services projects. May shadow Business Services staff in different functions and roles to learn about the fundamentals of Finance. Face-to-face and person-to-person interactions are required. Maintains regular course of attendance during authorized work schedule. Performs other related duties as assigned. Ability to travel (0%). Strong organizational skills and ability to manage multiple projects simultaneously. Strong and effective communication skills. Ability to multitask. Proficiency in Microsoft Office, Microsoft Word. Microsoft Excel and other operating systems, and devices. Ability to understand and apply basic functions and roles of Business Services. Ability to anticipate, identify issues, and problem solve.
