Job summary

Qualifications

• 3+ years of experience in customer service, order management, inside sales, or a related field preferred.
• Experience within manufacturing, distribution, industrial, or product-based environments is a plus.
• Previous experience with an ERP or order management system required; NetSuite experience preferred.
• Strong written and verbal communication skills with a professional, customer-focused approach.
• Excellent organizational skills and attention to detail.
• Ability to manage multiple orders, customer requests, and deadlines in a fast-paced environment.

Responsibilities

• Support development and maintenance of customer service standards, policies, and procedures.
• Respond to incoming phone calls and assist customers with questions and service needs.
• Receive and process new customer orders by phone and email.
• Confirm order details and communicate order receipt with customers and sales representatives.
• Enter and maintain order information within NetSuite ERP system.
• Review material pricing and availability and coordinate with vendors for updated pricing.
• Coordinate shipments to meet delivery dates and prepare packing lists and shipping documents.
• Provide shipping and tracking information to warehouse and shipping personnel.
• Monitor shipments and keep customers informed of delivery timelines and updates.
• Prepare and process customer invoices.
• Provide product and technical documentation as needed (safety data sheets, certificates of analysis, data sheets).
• File and follow up on freight claims as needed.
• Coordinate shipment of product samples to customers.
• Maintain accurate customer records in NetSuite.
• Participate in staff meetings and collaborate on customer service needs.
