Job summary

IDEX is seeking a Proposal Coordinator/Technical Writer in the United States to own and manage proposal content, coordinate responses to RFPs, RFQs and RFIs, and craft clear technical documentation. This role partners with Sales, Product Management, Marketing, Operations, and SMEs to ensure accuracy, current messaging, and timely submissions.

Qualifications

• Bachelor's degree in Business Administration, Communications, English, Marketing, Technical Writing, or a related field; or equivalent combination of education and experience.
• 3+ years of experience in proposal coordination, proposal management, technical writing, content management, business development support, or a related role.
• Experience supporting RFP, RFQ, RFI, contract bid, or grant proposal response processes.
• Experience managing content libraries, templates, and document repositories preferred.
• Technical writing experience involving software, technology, manufacturing, utilities, metering, engineering, or other complex products and services preferred.
• Experience working with proposal management software, CRM systems, content management systems, or document management platforms preferred.

Responsibilities

• Own and manage the company's proposal content repository, templates, knowledge base, and document management systems, ensuring content is organized, current, and accessible.
• Collaborate with Product Management, Sales, Marketing, Operations, and SMEs to review, validate, and update proposal content for accuracy with current products and capabilities.
• Develop, maintain, edit, and proofread reusable proposal content, executive summaries, company qualifications, and past submittals.
• Establish content governance, version control, approval workflows, and archiving procedures.
• Analyze proposal content utilization and effectiveness, recommending improvements to quality and response efficiency.
• Coordinate proposal response activities with Key Account Managers for RFPs/RFQs/RFIs and other solicitations.
