Core Responsibilities
- Executive Support: Manage the CEO’s calendar, inbox, meetings, and task list meticulously to optimize daily productivity.
- Project & Goal Management: Track high-priority projects and goals, ensuring timely completion and clear organization of tasks by urgency and importance.
- Operational Efficiency: Maintain standard operating procedures (SOPs), coordinate logistical activities, and support systems integration across multiple ventures.
- Communication Management: Draft and refine professional emails for internal teams and external stakeholders, ensuring warm, clear, and timely communication.
- Research & Reporting: Conduct thorough market research, product analyses, competitive reviews, and acquisition candidate evaluations, delivering concise, actionable summaries to leadership.
- Import/Export & Logistics Support: Coordinate product logistics including import/export processes, manufacturing timelines, and inventory flow.
- Tool Ownership: Utilize and manage digital tools such as QuickBooks, Microsoft Office (Excel, Outlook), AI platforms (ChatGPT, Perplexity), Amazon Seller Central, Shopify, Pipedrive, Notion, Zoom, WhatsApp, and OpenPhone to streamline workflows.
Required Skills And Experience
We are seeking a highly experienced and detail-oriented Strategic Executive Assistant with a strong background in operations and logistics to support a dynamic CEO running multiple fast-growing businesses.
The ideal candidate will have at least 5 years of experience supporting C-level executives in high-growth or multi-entity environments, demonstrating the ability to juggle competing priorities and adapt quickly to shifting demands. A minimum of 2 years of logistics experience related to physical goods, including familiarity with import and export processes in manufacturing environments, is essential.
Project management experience of at least 1 year is required, enabling efficient oversight and progress tracking of complex initiatives.
Proficiency in Microsoft Office Suite, particularly Excel and Outlook, is critical, along with strong skills in QuickBooks and familiarity with e-commerce platforms such as Shopify and Amazon Seller Central. Experience using AI-powered research and writing tools like ChatGPT or Perplexity to draft communications and SOPs will be highly valued.
The successful candidate must possess exceptional organizational skills, capable of managing multiple deadlines, stakeholders, and projects simultaneously. Excellent written and verbal communication skills are essential for crafting professional correspondences and liaising effectively with both internal teams and external partners.
Strong research aptitude is required to synthesize complex information from various sources into clear, actionable insights. Familiarity with mergers and acquisitions, legal document preparation, or investor relations is a major advantage.
Fluency in English with a neutral accent suitable for fast-paced business conversations is mandatory. Spanish proficiency is a plus, especially for occasional translation tasks and informal communications. Preference will be given to candidates located in Latin America to facilitate cultural alignment and timezone compatibility.
Additional Preferred Qualifications
While not mandatory, experience in M&A processes, legal documentation, or investor relations will enhance your ability to contribute strategically. Familiarity with CRM platforms such as Pipedrive and organizational tools like Notion will also complement your operational capabilities.
Prior exposure to high-growth startups or entrepreneurial ventures, particularly in sustainability or agriculture sectors, will be highly beneficial. The ability to independently problem-solve and a proactive mindset towards streamlining operational workflows are valued traits.
