About the Role

Wedding Pro CEO is looking for an ultra-organized, tech-savvy, self-driven Operations & Systems Manager to serve as the operational backbone of our fast-growing coaching and education brand. This role is for someone who thrives on bringing order to chaos, can juggle multiple tools and timelines, and loves creating seamless systems that keep our team running like a well-oiled machine.

You’ll be the right-hand integrator to our CEO—owning the backend execution of everything from calendar management and student support to tech automation, launches, and team onboarding.

Key ResponsibilitiesOperations & Executive Support

  • Manage CEO’s and team’s calendars, inboxes, and speaking/travel logistics (both personal and professional)
  • Handle communication and logistics for speaking requests, podcast guests, and live events
  • Oversee onboarding and offboarding processes for new employees, contractors, and podcast guests
  • Maintain organized digital filing systems and manage password security/access permissions
  • Review monthly contractor invoices and submit to CFO

Student Experience & Membership Support

  • Oversee all student onboarding processes and ensure high-touch experiences
  • Monitor and resolve student payment issues (including failed payments, renewals, and updates)
  • Manage community calendar and event uploads inside Skool
  • Respond to membership questions and coordinate with coaches/team when needed
  • Oversee setup, maintenance, and optimization of all core tech systems:
  • OnceHub, ThriveCart, ClickUp, ActiveCampaign, Google Workspace, Showit, Zapier
  • Troubleshoot tech issues across funnels, automations, logins, etc.
  • Manage ClickUp organization and keep all team projects up to date

Data & Reporting

  • Collect and track monthly metrics:
  • Renewal rates
  • Funnel conversion performance
  • Build/update internal dashboards and reports for leadership

Marketing & Launch Execution

  • Collaborate with CEO and marketing team to plan and execute email campaigns and product launches
  • Set up and test funnels, freebies, opt-ins, and email sequences
  • Update website content and ensure pages are accurate and optimized
  • Coordinate live monthly training events including email comms, links, and tech prep
  • Are obsessed with efficiency, details, timelines, and keeping projects on track
  • Are a tech wizard with ClickUp, Zapier, ActiveCampaign, ThriveCart, ShowIt, and OnceHub
  • Love taking vision and turning it into action
  • Communicate clearly, proactively, and respectfully
  • Are resourceful, independent, and figure-it-out driven
  • Have high ticket coaching/digital product industry experience
