Job summary

The Southeast Permanente Medical Group (TSPMG) in Atlanta, Georgia, is seeking an Access and Clinician Scheduling Coordinator to support clinician scheduling, appointment access, and related operational processes. This role builds accurate calendars and templates using analytic reports and partners with department leaders to ensure appointment availability across services.

Qualifications

• Associate's degree or equivalent combination of education and experience.
• At least 2 years of experience with a scheduling application.
• Demonstrated ability to provide a high level of service.
• Proven project management experience.
• Demonstrated analytical ability, including gathering and organizing data.
• Ability to communicate effectively with all levels of organizational personnel.
• Ability to work independently and collaboratively in a team environment.
• Successful completion of a Customer Service Assessment.
• Proficiency with Microsoft Excel, PowerPoint, and Word.

Responsibilities

• Create, coordinate, and maintain schedules for department services and clinicians.
• Construct clinician schedules that meet member-access criteria and standards.
• Create and build schedules for clinicians across multiple ambulatory departments and services.
• Analyze and utilize statistical models to develop clinician schedules that meet access needs.
• Partner with management to analyze data, identify gaps related to access, and translate decisions into appointing systems.
• Adhere to minimum staffing levels, policies, and procedures to ensure appropriate resource utilization.
• Use knowledge of staffing needs to manipulate and maintain schedules per policies.
• Track and report clinician schedule changes that impact appointment supply.
• Ensure the integrity and completeness of scheduling data and workflows.
• Manage data practices, databases, information systems, guidelines, dictionaries, registries, and related services.
• Support system configuration, build, validation, and ongoing support for assigned department applications.
• Manage provider payroll accurately and within established guidelines.
• Report direct and indirect physician hours and audit for payroll accuracy.
• Coordinate ambulatory schedules with other clinical responsibilities and answer questions about clinic schedules and policies.
• Process provider requests for time off, schedule changes, and extra clinics.
• Maintain records for decision-making and identify trends by data analysis.
• Build and maintain provider templates within EPIC.
• Respond to inquiries from management and clinicians with critical thinking and problem solving.
