Access and Clinician Scheduling Coordinators

Location: Atlanta, Georgia

The Southeast Permanente Medical Group (TSPMG) is seeking an Access and Clinician Scheduling Coordinator to support clinician scheduling, appointment access, and related operational processes. This position is responsible for creating, building, and maintaining accurate clinician and department calendars and schedule templates using analytical reports. The Coordinator works closely with department leaders and local teams to ensure adequate appointment availability, resolve access issues, and support effective scheduling workflows.

The role also supports provider payroll and FTE management processes and serves as a consultant to local teams regarding rule build and access management.

Essential Responsibilities
  • Create, coordinate, and maintain schedules for department services and clinicians.
  • Construct clinician schedules that meet established member-access criteria and standards, including appropriate resource distribution throughout the week, appointment placement throughout the day, and the appropriate percentage of appointment types within each clinician's schedule.
  • Create and build schedules for clinicians across multiple ambulatory departments and services.
  • Analyze and utilize standardized statistical models to develop clinician schedules that meet access needs.
  • Partner with management to analyze data, identify gaps or issues related to access, and translate decisions into appointing systems.
  • Adhere to minimum staffing levels, policies, and procedures to ensure appropriate resource utilization.
  • Use knowledge of staffing needs and staff availability to manipulate and maintain schedules in accordance with established policies and procedures.
  • Track and report clinician schedule changes that impact appointment supply.
  • Ensure the integrity and completeness of healthcare scheduling data and workflows.
  • Manage data practices, databases, information systems, guidelines, dictionaries, registries, and related services.
  • Support system configuration, build, validation, and ongoing support for assigned department applications.
  • Manage provider payroll accurately and within established guidelines.
  • Accurately report direct and indirect physician hours through the regional payroll system and perform regular audits before payroll submission to identify errors or system anomalies.
  • Coordinate ambulatory schedules with other clinical responsibilities and answer questions regarding clinic schedules, call duties, medical department policies, and ETO.
  • Process provider requests for time off, schedule changes, and extra clinics.
  • Maintain records for decision-making and historical purposes and identify trends by tracking and analyzing data.
  • Build and maintain provider templates within EPIC.
  • Respond to inquiries from management and individual clinicians and exercise critical thinking and judgment when solving problems.
Basic Qualifications
  • Associate's degree or equivalent combination of education and experience.
  • At least 2 years of experience with a scheduling application.
  • Demonstrated ability to provide a high level of service.
  • Proven project management experience.
  • Demonstrated analytical ability, including gathering and organizing data.
  • Ability to communicate effectively with all levels of organizational personnel.
  • Ability to work independently and collaboratively in a team environment.
  • Successful completion of a Customer Service Assessment.
  • Proficiency with Microsoft Excel, PowerPoint, and Word.
Preferred Qualifications
  • Bachelor's degree or equivalent combination of education and experience.
  • Customer service aptitude demonstrated through the Customer Service Assessment.
  • Healthcare work experience preferred.
