MaineGeneral Health is seeking a detail-oriented Staffing Specialist to support staffing and scheduling operations for our long-term care facility at Gray Birch. This role partners with department leaders to develop and maintain staff schedules, coordinate staffing resources, and address scheduling needs in a fast-paced environment, ensuring reliable staffing for quality resident care.

• Excellent attention to detail and ability to manage multiple priorities in a fast-paced environment.
• Effective communication and interpersonal skills, with ability to collaborate with staff and department leaders.
• Adapt to changing staffing needs and respond effectively to scheduling challenges.
• Proficiency with computer systems, data entry, and scheduling software.
• Previous experience in staff scheduling, workforce coordination, or a similar administrative role preferred.
• Experience in healthcare or long-term care staffing is a plus.

Responsibilities

• Develop, maintain, and publish staff schedules to support departmental staffing needs and operational goals.
• Serve as an internal resource for scheduling systems, providing guidance, assistance, and training to staff as needed.
• Collaborate with department leaders to ensure appropriate staffing assignments and coverage across designated departments.
• Assist with scheduling orientation and onboarding activities for newly hired staff.
• Coordinate daily staffing needs, including assisting with coverage for employee absences and unexpected staffing shortages.
• Monitor schedules and make adjustments as needed to maintain adequate staffing coverage.
• Prioritize and perform data management activities related to staffing, scheduling, and schedule maintenance.
• Maintain and approve employee timecards as needed.
• Provide ongoing support to department leaders in achieving staffing goals and ensuring schedules are accurate, complete, and published in a timely manner.
• Assist with the coordination of personnel and resources to support the daily operations of the facility.
