Job summary

Complete Care - Wisconsin is hiring a Staffing Scheduler for our day shift to maintain master schedules, ensure adequate resident coverage, and support smooth daily operations.

In this role, you will track attendance and overtime, coordinate with HR on leaves and resignations, and collaborate with facility leaders to meet staffing needs while delivering compassionate resident care. A CNA certification and strong computer skills are required with LTC experience preferred.

Qualifications

• High school diploma or equivalent required.
• Active Certified Nursing Assistant (CNA) license required.
• Scheduling experience and LTC background preferred.
• Strong computer skills, including Word, Excel, and Outlook.
• Excellent organization, problem-solving, and communication abilities.

Responsibilities

• Create, update, and maintain staff master schedules across all shifts and departments.
• Address call-outs, tardiness, and vacancies by adjusting schedules or coordinating with agencies.
• Record attendance, call-outs, and overtime to generate payroll and leadership reports.
• Collaborate with HR on leaves (FMLA/non-FMLA), status changes, and resignations while supporting recruitment.
• Communicate with DON, ADON, Administrator, and department heads to address staffing needs.

Role Overview

We are seeking an organized, high-energy Staffing Scheduler for our day shift team. In this pivotal role, you will oversee master schedule creation, manage daily coverage, track attendance, and partner with leadership to keep unit staffing optimized for high-quality resident care.

Key Responsibilities

• Schedule Master Management: Create, update, and maintain staff schedules across all shifts and departments to ensure compliance and adequate resident coverage.
• Shift Shortage Coverage: Address immediate call-outs, tardiness, and vacancy gaps by adjusting schedules, contacting internal staff, or coordinating with approved agencies.
• Attendance & Payroll Tracking: Record attendance, call-outs, and overtime data to generate metrics reports for leadership and support accurate payroll processing.
• HR & Recruitment Alignment: Work closely with HR regarding leaves (FMLA/non-FMLA), status changes, and resignations while supporting recruitment and retention strategies.
• Cross-Department Collaboration: Communicate regularly with the DON, ADON, Administrator, and department heads to address ongoing staffing needs and comply with facility policies.

Qualifications

• Education: High school diploma or equivalent required.
• Certification: Active Certified Nursing Assistant (CNA) license required.
• Experience: Previous scheduling experience and Long-Term Care (LTC) background strongly preferred.
• Technical Proficiency: Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
• Core Competencies: Exceptional organization, strong problem-solving abilities, and clear written and verbal communication skills.
