Job Summary

The staffing coordinator coordinates work schedules, maintains staffing information, assigns staff, utilizes the computer system, updates daily staffing sheets, prepares schedules, and makes telephone calls daily to cover staffing needs. The staffing coordinators are continuously aware of the staffing needs of the units, which allows for a centralized system to oversee the needs of the many nursing units they serve. The staffing coordinator is responsible for maintaining inpatient staffing schedules, keeping the Kronos Scheduler/Timekeeper updated with all staffing edits, addressing email notifications, faxes regarding staffing edits from the Nurse Manager, and providing excellent service to all customers within the organization. They must communicate openly and transparently across the system and apply critical thinking skills when placing and assigning staff in the System Float Staff. Demonstrate respect, dignity, kindness, and empathy in each encounter with all patients, families, visitors, and other employees regardless of cultural background.

Job Description
  1. Utilizes the current staffing module to enter and maintain schedules and updates for inpatient units, processing scheduling requests and updating the Time/Scheduling system.
  2. Approves or returns balanced schedules to the Nurse Manager.
  3. Communicates and collaborates with Nurse leaders on staffing changes daily and prepares reports.
  4. Makes and receives telephone calls to cover staffing needs.
  5. Maintains excellent customer service relations with staff and managers.
  6. Maintains scheduling worksheets and daily staffing sheets, making adjustments for staff schedule changes, and ensuring accurate information is provided to end users, including premium pay details.
  7. Updates and distributes various reports related to scheduling and timekeeping.
  8. Prepares and distributes daily and weekend predictive staffing reports.
  9. Prepares Manager Review Boards for the weekend for the Nurse Manager.
  10. Distributes SFP staff to meet unit needs as per Nursing Policies/Procedures.
  11. Performs other duties as assigned.
Education, Credentials, Licenses
  • High School Diploma
Specialized Knowledge
  • Basic computer skills with a desire to increase proficiency. Proven customer service skills, especially telephone communication. Excellent organizational skills. Ability to work independently without supervision.
Experience
  • One year of secretarial or clerical experience in an office setting.
