Staffing Coordinator, Part-time, Day Shift

UC Health is hiring a part-time Staffing Coordinator for the UC Medical Center.

The Staffing Coordinator is responsible for overseeing and managing staffing needs across all inpatient care units. This includes coordinating resources, allocating available staff, and communicating with relevant departments to ensure appropriate staffing levels. The role also involves timely documentation of staffing changes into the electronic scheduling system, including recording same-day staff absences. Proactive collaboration with nursing leadership is essential to maintain operational efficiency.

Responsibilities
  1. Lead Scheduling Operations and Resource Allocation (35%)
    • Oversee and maintain the electronic scheduling system, ensuring accurate shift staffing representation.
    • Delegate shift coverage tasks, including float pool and agency placements, following contractual agreements.
    • Ensure timely reporting of staffing changes, overtime, and cancellations.
    • Communicate and coordinate staffing updates related to same-day absences, including entering pay codes.
  2. Collaborate with Charge Nurses and Leadership (25%)
    • Validate staffing schedules with charge nurses.
    • Analyze census and acuity data to determine additional staffing needs and recommend actions.
    • Record all same-day absences and report changes to nursing leaders.
    • Maintain an accurate log of patients requiring monitors.
  3. Direct Staff Assignments and Adjustments (25%)
    • Assign float, overtime, and agency staff equitably, adhering to contract guidelines.
    • Allocate patient monitors based on unit needs and address shortages.
    • Work with nursing supervisors to balance staffing across units.
    • Lead staff cancellation processes, ensuring timely notifications.
  4. Maintain Staffing Resource Readiness (15%)
    • Evaluate staffing gaps, determine coverage needs, and identify resources.
    • Address coverage gaps promptly.
Team Leadership Responsibilities
  • Serve as the key contact for unit staffing needs, aligning with department goals.
  • Guide staff on scheduling matters, fostering teamwork and accountability.
  • Address concerns and operational challenges professionally.
  • Maintain communication with leadership and staff to promote collaboration.
  • Assist in developing and improving staffing processes for long-term success.
Qualifications
  • High School Diploma or GED.
  • 2-3 years of experience in a medical setting or customer service preferred.
  • Knowledge of discharge planning and home health care is preferred.
  • Strong customer service, communication, organizational, conflict resolution, and negotiation skills.
  • Proficiency in multiple computer systems (e.g., EPIC, API, ECIN, Microsoft Office).
  • Excellent customer service attitude.
