Job Summary:

The staffing coordinator coordinates work schedules, maintains staffing information, assigns staff, utilizes the computer system, updates daily staffing sheets, prepares schedules, and makes telephone calls daily to cover staffing needs. They are continuously aware of the staffing needs of the units, enabling a centralized system to oversee the staffing of various nursing units. The coordinator maintains inpatient staffing schedules, keeps the Kronos Scheduler/Timekeeper updated with staffing edits, addresses email notifications, faxes from Nurse Managers, and provides excellent service to all organizational customers. They promote open, transparent communication and apply critical thinking when placing and assigning staff, including float staff.

Demonstrate respect, dignity, kindness, and empathy in interactions with patients, families, visitors, and colleagues, regardless of cultural background.

Job Description:

  • Utilizes the current staffing module to enter and maintain schedules for inpatient units, processes scheduling requests, and updates the Time/Scheduling system.
  • Approves or returns balanced schedules to Nurse Managers.
  • Communicates and collaborates with Nurse leaders on daily staffing changes and prepares reports.
  • Makes and receives calls to cover staffing needs.
  • Maintains excellent customer service relations with staff and managers.
  • Maintains scheduling worksheets and daily staffing sheets, making adjustments as needed, and ensures accurate information, including premium pay details.
  • Updates and distributes reports related to scheduling and timekeeping.
  • Prepares and distributes daily and weekend predictive staffing reports.
  • Prepares Manager Review Boards for weekends for Nurse Managers.
  • Distributes SFP staff to meet unit needs as per Nursing Policies/Procedures.
  • Performs other duties as assigned.

Education, Credentials, Licenses:

  • High School Diploma

Specialized Knowledge:

  • Basic computer skills with a desire to improve; proven excellent customer service skills, especially in telephone communication; strong organizational skills; ability to work independently without supervision.

Experience:

  • One year of secretarial or clerical experience in an office setting.
