Job description

Beauvoir, The National Cathedral Elementary School is looking for a Staff Admin Assistant who will provide on-site administrative support to Admissions and Advancement departments. This position will maintain effective and efficient operations as directed by and in collaboration with the Directors of those departments.

Hourly Range : $26.00 – $30.00 per hour depending on level of education and experience.

DUTIES AND RESPONSIBILITIES
  • In a coordinated manner,assistwithgeneral tasks and duties, when needed,at therequest of the Directors
  • Support teams with coverage of Buddy and Carpool duties as needed
  • Provide clericalsupport and performs other duties as assigned
  • Please note: Events include approximately four weekend events and approximately seven evening events throughout the school year.
ADVANCEMENT Department Responsibilities:
  • Event preparation needs, including printing and sorting nametags, and tracking attendance lists
  • Coordinate with the dining and facilities team on event setups
  • Event day-of logistical support for constituent engagement and Parents Association events
  • Assist with the fulfillment of Logo Store orders (school store)
  • Coordinate with the Business Office to fulfill supply needs for events, Parents Association initiatives and the Logo Store (school store)
  • Assist with the sorting and bagging of school Lost and Found items for donation
  • Assist with the stuffing and mailing of acknowledgement letters, event invitations, and Logo Store orders to be shipped
ADMISSIONS Department Responsibilities:
  • Help coordinate and create support materials and order supplies in advance of events, Admissions play dates, and Open Houses, including slideshows, printouts, and signage
  • Provide support for Admissions Committees, including creating and updating spreadsheets
  • Support the Admissions Team in all aspects regarding Parent/Caregiver Tours, Groups and events
  • Participate in visits for pre-kindergarten and kindergarten applicants and support the organizational needs of and preparation for those visits
  • Participate in various Admissions Events including but not limited to Tours, Open Houses, and School Fairs
  • Support tracking functions for enrollment applications and other data sources, including the creation of excel sheets, schedules and calendars
  • Help prepare online notifications in Ravenna including proofreading letter
  • Submit food and facilities requests for all admissions events and follow-up as needed until the event’s successful completion
  • Upon conclusion of specific events, upload and scan documents
  • Provide clerical support and perform other duties as assigned.
  • Support the needs in managing first-third grade applications and visits
  • Partner with the team in tracking admissions decisions and planning yield events
  • Exhibits a keen ability to work in partnership and collaboration with the Director of Admissions and Financial Aid and the Admissions Team, to learn and grow, and to be an advocate for Beauvoir.
  • Prepare, print labels, and handle various aspects of mailings, including admission packets

MINIMUM QUALIFICATIONS
  • Experience working at an Independent School is a plus.
  • Bachelor’s degree in Hospitality, Education, Marketing, Operations or a related field.
  • At least 3 years of experience in a hospitality, marketing or school setting.
  • Compatibility with the School’s values, Life Rules, mission, and vision.
