The Staff Accountant is responsible for supporting day-to-day accounting operations across multiple affiliated entities, with primary responsibility for accounts payable, accounts receivable, account reconciliations, inventory accounting support, and the integrity of the general ledger.
This role requires a highly organized and self-directed professional who can manage competing priorities, communicate effectively with internal and external stakeholders, and operate with a strong sense of ownership and accountability. The successful candidate is detail-oriented, proactive, and effective in a fast-paced operating environment where priorities can shift quickly.
Key Responsibilities
- Execute day-to-day accounting operations across multiple legal entities, including accounts payable, accounts receivable, billing, cash application, and payment processing
- Process vendor invoices, customer billings, ACH payments, checks, credit card activity, and bank transactions accurately and on schedule
- Maintain the general ledger, including journal entries, account reconciliations, and supporting schedules
- Perform bank, credit card, and intercompany reconciliations, and support the monthly and annual close processes
- Monitor daily cash activity, maintain organized accounting records, and respond to internal reporting requests
- Support inventory accounting, purchase order administration, settlement tracking, and related operational accounting functions
- Prepare and maintain AP/AR aging analyses, payout schedules, customer and vendor master records, W-9 documentation, and supporting files
- Coordinate with vendors, customers, operations personnel, and management to research and resolve discrepancies and collect outstanding balances
- Serve as the in-office point of contact for local vendors, including coordinating and processing same-day payments as needed
- Support compliance reporting, insurance allocations, audit and lender requests, and other administrative accounting functions
- Contribute to process improvement, workflow standardization, and internal control initiatives
- Provide additional accounting and administrative support as needed in a fast-paced, multi-entity environment
Position Requirements
- Associate or bachelor's degree in Accounting, Finance, or a related field, or equivalent practical experience
- 3 to 5+ years of progressive experience in a full-charge bookkeeping or staff accounting role
- Working knowledge of QuickBooks Online required
- Intermediate to advanced Microsoft Excel skills required
- Experience with inventory-based accounting strongly preferred
- Demonstrated ability to independently prepare bank reconciliations, credit card reconciliations, and journal entries
- Working understanding of intercompany accounting and reconciliation preferred
- Strong organizational and time management skills, with the ability to manage competing priorities and consistently meet deadlines
- Excellent written and verbal communication skills

Reporting Structure
This position reports directly to the Controller and works closely with operations, sales, and management teams across multiple affiliated entities.
