Job summary

The Chronicle Of Higher Education, Inc. seeks a Specialist, Purchasing Card to support the reconciliation of all Purchase cards for Tarrant County College (TCC). This role operates Monday to Friday, 8:00am to 5:00pm, in the DT Purchasing department at the TCCD District Offices.

Non-remote; starting pay listed; duties include auditing records, generating Concur reports, and coordinating cardholder data. Ideal candidates will have a High school diploma or GED and at least 3 years of related

Responsibilities

  • Create, maintain, and organize the Procurement department filing system.
  • Analyze cardholder compliance, including due dates, expensed purchases, and state taxes.
  • Create Concur reports and manage cardholder statuses and submissions.
  • Process PCARD requisitions and enter Colleague ID, SSN, and birthdate.
  • Support the Senior Buyer/PCARD Administrator with Concur reports and distribution of notices.

Job Summary:

This role is responsible for supporting the reconciliation of allPurchase cards for Tarrant County College (TCC).

Primary Duties and Responsibilities:
Essential Performance Requirements*
  • Creates, calculates, and maintains the Procurement departmentfiling system, including department payroll records
  • Analyzes all aspects of cardholder compliance, e.g. program duedates, purchases correctly expensed, and any issues related tostate sales and use taxes
  • Creates Concur reports related to unassigned and not submittedstatus, sort by travel vs. goods and services, and update percardholder when available
  • Processes PCARD requisitions and assign Colleague ID, SocialSecurity Number, and birthdate as cards are entered
  • Supports the Senior Buyer/PCARD Administrator by running andanalyzing all available Concur reports for Finance and Procurementprocess reports in a timely manner, will send out emaildistributions for card submittal dates, late activity, andpotential deactivation of cards for non-compliance
  • Responsible for the master file for cardholders, e.g. creatingnew file folders, updating deactivated card files, sendingactivation emails and insuring that the card is linked correctly inColleague
  • Works with the Senior Buyer/PCARD Administrator during theinternal audit process
  • Processes PCARD Applications in TCC Marketplace, researchespersonal information in Colleague and insures the Colleague ID iscorrect on the Cardholder Application
  • Audits cardholder records, including receipts, tax exemptions,etc.
  • Sends cardholder notifications regarding missing receipts, taxespaid, etc.
  • Uploads corrected records (for audit) into Concur, such asmissing receipts, tax reimbursements to Business Services,etc.
  • Serves as a back-up for the Senior Buyer/PCARDAdministrator
  • Send email reminders to delinquent cardholders
Service Excellence
  • Participates on behalf of the College in external communityorganizations and associations as assigned to support the essentialperformance requirements
  • Attends the workplace regularly, reports to work punctually, andfollows a work schedule to keep up with the demands of theworksite
  • Completes all required training and professional developmentsessions sponsored through Tarrant County College (TCC)
  • Supports the mission, values, goals, and principles of theCollege
Supervision

Works under the supervision of the assigned department leader

Required Minimum Qualifications:
  • High school diploma/GED
  • Three (3) years’ working experience related to the EssentialPerformance Requirements
Preferred Qualifications:

Certified PCARD Professionals Certification (CPCP)

  • Skilled using computer applications and enterprise systems,including the Microsoft Office suite
  • Ability to work effectively in a collaborative environment

  • Ability to analyze data and provide sound recommendations basedon policy, procedure, practice, and existing regulations
  • Ability to delegate work appropriately to faculty and staff tomeet College and campus deliverables
