Job description

The Center for Shock, Trauma and Anesthesiology Research (STAR) and the Department of Anesthesiology are seeking a Program Specialist to provide comprehensive administrative and operational support for the Department's research, academic, and administrative missions. The Program Specialist is responsible for the day-to-day tactical administrative functions of STAR and the Department of Anesthesiology/Translational Research.

This position acts independently to resolve administrative issues, coordinate activities across multiple stakeholders, and serve as a liaison between faculty, staff, students, visitors, and senior leadership across the University. The incumbent will exercise a high degree of confidentiality, tact, and discretion while managing a variety of routine and non-routine administrative responsibilities.

Primary responsibilities include managing calendars and schedules, coordinating seminar and lecture series, processing requisitions and purchasing transactions, ordering laboratory and office supplies using the State P-Card, coordinating travel arrangements and reimbursements, maintaining departmental websites, and supporting other administrative and operational functions as needed. The position will also coordinate meetings and events, maintain records and departmental documentation, assist with office and research administration, and support departmental initiatives.

The successful candidate will possess strong organizational, communication, and problem‑solving skills, with the ability to manage multiple priorities, work independently, and identify and resolve issues in a dynamic academic and research environment. Additional duties may be assigned to support the operational needs of the Department of Anesthesiology and STAR.

Accomplishes responsibilities by applying specialized and theoretical knowledge, principles, and concepts of a professional discipline normally acquired through advanced education or specialized training. Resolves issues and significant matters on behalf of management by utilizing independent judgment, discretion, creativity, and analytical thinking. Contributes to development and evaluation of goals and objectives. Creates solutions to ensure legal and policy compliance. May supervise, mentor, or coordinate work of others (positions that supervise are responsible for service delivery, quality assurance, and employee performance). May independently manage or administer programs, processes, projects, or resources.

Applies intermediate level knowledge, concepts, principles, and skills. Decision making occurs within general guidelines and requires significant interpretation. Supervisor defines work guided by goals and objectives. Supervisor assists with unusual situations. Solutions require considerable analysis and evaluation of various alternatives. Independently anticipates needs and requirements to resolve non-routine matters.

Primary Duties
  • Assist in the management of the specified program (project #).
  • Contribute to assignments and projects that require significant evaluation, originality, and ingenuity.
  • Provide solutions to issues and judgment outside of pre-established guidelines or processes.
  • Develop and schedule program work plan in accordance with specifications and funding limitations in order to shape the program. Oversee daily operations; organize program activities; and set priorities.
  • Monitor and facilitate use of program funds to support needed resources. Make recommendations to program lead in use of funds.
  • Provide routine and non-routine technical advice, problem solving assistance, and answer questions. Interpret program goals and policies and provide administrative support to the program team.
  • Assist in conceptualization, development, and preparation of written products such as training materials, website content, final progress reports, and promotional materials.
  • Recommend resources for the improvement of the University, school, and program.
  • Prepare and analyze program financial statements, expenditures, and budgets for management or outside agencies.
  • Assist in the development and implementation of recruiting plan for program participants, members, and volunteers. Develop and facilitate workshops, meetings or conferences, coordinate logistics, scheduling, and participant communications.
  • Assist in evaluating program effectiveness to develop improved methods; devise evaluation methodology and implements; analyze results and recommend and/or take appropriate action. Has the authority to formulate, affect, interpret, or implement policies or procedures to ensure effective operation of the program.
  • Using state of the art technology, use sophisticated searching techniques to conduct in depth research of literature reviews, online searches, and other research tasks to address client/community’s complex and unique information requests. Develop and maintain internet web site files and/or listings.
  • Interact and maintain liaison with students, faculty, staff and outside/community agencies in facilitating program objectives. Serve as a primary contact and thinks critically about all aspects of the program to resolve questions and make decisions related to the program.
  • Prepare or assist in preparation of funding grant proposal and/or funding continuation from outside sponsors for program.
  • Perform other administrative duties having a significant impact on the overall goals of program.

Education: Bachelor’s degree.

Experience: Two (2) years administrative or program coordination experience.

Other: Related experience to program may be substituted for education.

HIRING RANGE

$61,000 - $73,000, commensurate with education and experience.
