Job summary

Responsibilities

  • Receive, prioritize, assign, and dispatch maintenance work orders.
  • Prepare preventive maintenance plans aligned with goals.
  • Monitor progress and ensure timely completion.
  • Maintain records in the CMMS and review labor/time materials.
  • Serve as primary contact between district staff and maintenance department.
  • Assist with Brightly training via Brightly Academy.
  • Coordinate event setups and ensure efficient scheduling.

La Porte Independent School District Maintenance & Operations, La Porte, Texas

Specialist, Maintenance Control

Primary Purpose: The primary purpose of this position is responsible for coordinating and managing the daily flow of maintenance operations by dispatching work orders, scheduling preventative maintenance, coordinating events setups, and serving as the primary communication link between district staff and the Maintenance & Operations Department. This position ensures timely response to maintenance requests, efficient scheduling, and exceptional customer service while supporting the district’s operational needs.

Major Responsibilities and Duties
  • Receive, prioritize, assign, and dispatch maintenance work order to appropriate maintenance personnel.
  • Prepare preventive maintenance plans that are aligned with the organization’s maintenance goals.
  • Monitor work order and preventative maintenance progress/completion and follow up to ensure timely completion.
  • Maintain accurate records and documentation within the district’s computerized maintenance management system.
  • Review work orders for accuracy on labor, time and materials.
  • Maintain preventative maintenance schedules for district facilities and equipment.
  • Processes, logs and inspects completion of all service calls.
  • Ensure event setup and breakdown activities are completed efficiently and on schedule.
  • Ensure all equipment and air is scheduled for events.
  • Serve as the primary point of contact between district staff and the maintenance department.
  • Assist as a primary trainer for Brightly, utilizing Brightly Academy.
  • Work closely with campus staff and maintenance personnel to resolve maintenance issues.
  • Assist in identifying practical solutions to facility issues while maintaining a high level of customer service.
  • Answer phone calls, respond to emails and provide updates regarding maintenance requests while maintaining a good public relationship with district personnel by courteous and prompt handling.
  • Issue/Receive iPads and Phones to all new employees in the maintenance department.
  • Prepare reports, schedules and maintenance activities summaries.
  • Monitor service requests and identify trends to improve operational efficiency.
  • Maintain confidential records and information as required.
  • Generate reports as requested.
  • Work collaboratively with district staff, vendors, contractors and maintenance employees.
  • Assist with coordinating and scheduling all maintenance activities.
  • Identifies opportunities for improving service delivery methods and procedures.
  • Adjust schedules to account for unexpected emergency work and district needs.
  • Ensuring that all maintenance work complies with safety regulations and industry standards.
  • Work with foremen and operations teams to plan and implement schedule modifications.
  • Participating in the development and implementation of maintenance policies, procedures, and best practices.
  • Assist in district energy management systems, policies, procedures and protocols.
  • Maintain dumpster requests, pick up and deliveries district wide.
  • Maintain all elevator services district wide.
  • Back up to secretarial support to the maintenance and custodial department.
  • Perform all other duties as assigned.

Supervisory Responsibilities: None

Mental Demands / Physical Demands / Environmental Factors

Mental Demands: Ability to communicate effectively (verbal and written); interpret policy, procedures and data; coordinate district functions. Office environment with numerous interruptions. Maintain emotional control under stress.

Physical Demands / Environmental Factors: Frequent districtwide travel; occasional prolonged and irregular hours; in and out of District travel.

Work Environment: While performing the duties of this job, the employee is subject to constant interruption and is in direct contact with the public, students, and employees. Interactions with these contacts may result in hectic situations. This position may be high volume at times and work without direct and/or constant supervision.

The District contributes $400/month to the cost of employee only health insurance, which is $175/month greater than the state required amount of $225/month.

Pay Grade: Manual Trades Pay Grade 4, 240 Days

Minimum: $16.48

Midpoint: $19.86

Compensation based on job-like experience

Position Type: Full-Time
