Job Description

Position: Supervisor, Warehouse

Primary Purpose:

Responsible for the supervision of the district warehouse. This position ensures accurate inventory tracking, ordering, quotes, processing orders, timely deliveries, proper receiving procedures, and compliance with district purchasing and accounts payable requirements. This position also serves as the backup to the Central Receiving Supervisor as needed.

Education/Certification:

  • GED/High School Diploma
  • Valid Texas Drivers License; must be insurable by district’s insurance carrier
  • Forklift certified (willing to obtain within 30 days)

Special Knowledge/Skills:

  • Demonstrates excellent organizational, communication and interpersonal skills
  • Ability to read and comprehend guidelines, manuals and publications
  • Ability to train staff on assigned responsibilities
  • Ability to operate district wide computer system
  • Ability to supervise staff as assigned

Experience:

  • Three years experience in a warehouse related work environment preferred

Major Responsibilities and Duties:


1. Supervise receipt of district wide materials and supplies ordered and the verification of the accuracy of the shipment with the information on the invoice slips, shipping documents or purchase orders.
2. Unload and load packages form various different carriers.
3. Maintain accurate inventory of all custodial and maintenance supplies, equipment, chemicals, and all related materials.
4. Monitor inventory levels and identify items that need to be reordered.
5. Issue and remove inventory items from the system as supplies are distributed or used including inventory associated with work orders.
6. Ensure all inventory transactions are accurately documented and properly linked to the appropriate work order or department.
7. Receive, inspect, organize and properly store custodial and maintenance supplies and equipment.
8. Fill and distribute custodial supply orders submitted by campuses and departments.
9. Coordinate with Cintas for the pickup and delivery of dust mop services.
10. Prepare campus supply orders based on established procedures and available inventory.
11. Coordinate with the Central Receiving Supervisor on the delivery of custodial supply orders assigned per campus/building.
12. Obtain quotes from vendors for custodial and maintenance supplies, rental equipment and services as needed.
13. Coordinate the ordering, delivery, pickup, and return of rental equipment as needed to support district operations and events.
14. Compare pricing, availability, specifications, and delivery timelines by obtaining quotes.
15. Prepare and submit requisitions for purchase.
16. Follow up on back orders, shortages, damaged shipments, incorrect orders and credits.
17. Coordinate with vendors regarding problems with shipments.
18. Maintain and organize storage areas, isles and ensure supplies are labeled and easily accessible.
19. Maintain appropriate stock levels to support district-wide custodial operations.
20. Track inventory usage and identify trends that may assist with budgeting and purchasing decisions.
21. Maintain and track budgets for all custodial supplies to stay with in allocated amount.
22. Complete annual inventory counts and reconciliation of inventory records.
23. Maintain accurate records of all equipment and supplies issued through the warehouse, ensuring all items are properly signed out and documented.
24. Maintain current Safety Data Sheets (SDS) for all chemicals and supplies.
25. Organize SDS documents so they are easily accessible to employees and emergency personnel.
26. Assist the Director and Custodial leadership with researching new custodial products, equipment and cost saving opportunities.
27. Maintain organized records, of inventory, quotes, orders and invoices.
28. Utilize Siemens/Brighlty software system for all inventory needs.
29. Charge back to departments for all custodial supplies ordered.
30. Ensure timely distribution of all incoming materials to the appropriate location.

Central Receiving Operations

31. Serve as backup to the Central Receiving Supervisor during absences or as assigned .
32. Operate warehouse equipment in accordance with safety regulations and district procedures.

Other Duties

33. Maintain positive working relationships with district staff, vendors, and contractors.
34. Comply with all district policies, procedures, and safety requirements.
35. Perform all other duties assigned by Director of Maintenance & Facilities.

Salary Information:

Pay Grade:Manual Trades Pay Grade4, 250 Days

Min: $16.48/hour

Mid: $19.86/hour

Salary based on job-related experience.

Other Information:

The district contributes $400/monthly to the cost of "employee-only" health insurance which is $175/monthly greater than the state required amount of $225/monthly.
