South Texas College seeks a detail‑oriented Inventory and Fixed Assets Specialist to maintain the College's fixed assets and inventory records. You will support moves, transfers, asset disposal status, and updates in the ERP system, collaborating with faculty and staff to ensure accurate asset data and reporting.

The ideal candidate has a Bachelor's degree, at least two years of related experience, excellent data entry and communication skills, and the ability to meet deadlines in a busy college

  • Assists with the Receiving, Mail Services and Copy Center as needed.

Job description

Department: Central Receiving

General Statement of Job

Maintains the College's fixed assets and inventory records; tracks and verifies records. Provides assistance to all faculty and staff regarding moves/transfers, asset disposal status, and/or general Fixed Assets matters.

Specific Duties and Responsibilities
Essential Functions:
  • Provides administrative support and assistance to the Receiving and Distribution Manager.
  • Processes confidential information and coordinates various projects.
  • Tracks all fixed assets, inventory, and donations/gifts and prepares items for auction or recycle/disposal.
  • Maintains communication with the grants department for proper disposal of obsolete grant assets.
  • Processes and accounts for all the completed Banner Fixed Assets workflow requests and prepare assets for auction or recycle/disposal.
  • Assist departments with their physical inventory and conducts annual department inventory audits.
  • Conducts department annual physical inventory, provides financial managers with inventory reports, and updates information in the Enterprise Resource Planning (ERP) system, as needed.
  • Prepares and maintains records of all auctioned and recycled assets.
  • Assists the Manager with the Receiving, Mail Services and Copy Center as needed.
  • Notifies the Receiving and Distribution Manager of any required vehicle maintenance.
  • Assists with fueling the Central Receiving and Mail Services vehicles.
  • Reviews and completes the fixed assets workflow process and ensures all assets are updated in system.
  • Performs other duties as appropriate to department needs.
Required Education and Experience
  • Bachelor's Degree required.
  • Two (2) years related experience, preferred

  • Good data entry skills with close attention to details and accuracy.

  • Ability to function well under time constraints and deadlines.
  • Excellent communication and interpersonal skills.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Checks, Certificates, Licenses, and Registrations
  • Must have valid Texas driver's license.
  • Forklift, First Aid and HAZMAT certifications preferred.
Physical Requirements
  • Exerting up to 100 pounds of force occasionally, and/or up to 50 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects.
  • Maintaining body equilibrium to prevent falling while walking, standing or crouching on narrow, slippery, or erratically moving surfaces. The amount of balancing exceeds that needed for ordinary locomotion and maintenance of body equilibrium.
  • Ascending or descending ladders, stairs, scaffolding, ramps, poles and the like, using feet and legs and/or hands and arms. Body agility is emphasized.
