Hawthorne Lane in the United States seeks a Special Assistant to provide high-level administrative and operational support to a dynamic team in a fully in-person role, five days a week in the Northern Virginia office. You will manage schedules, coordinate meetings, events, and travel, and track stakeholder requests.

The ideal candidate has at least five years of relevant experience supporting senior executives, strong Microsoft and Google Suite skills, and a diplomatic, discreet approach.

Responsibilities

  • Manage schedules, priorities, and workflow to support team goals and ensure effective time allocation.
  • Serve as a trusted point of contact for internal and external stakeholders, including clients and community representatives.
  • Coordinate executive-level meetings, events, and travel, including planning, budgeting, scheduling, communications, and logistics.
  • Support departmental budgeting and accounting by monitoring monthly expenditures.
  • Manage and coordinate special projects that advance departmental and organizational priorities.

Job description

The Special Assistant with this large corporation will be a key point of contact internally and externally, providing high-level administrative and operational support to a dynamic team. In this role, you will manage schedules, workflow, and priorities, coordinate executive meetings, events, and travel, and track stakeholder requests. This role is seeking candidates with strong administrative support backgrounds, keen attention for detail, top-notch organizational skills, and an eagerness to help keep every day, budget, deadline, and project running on track and aligned with big picture company goals. Key Responsibilities:
  • Manage schedules, priorities, and workflow to support team goals and ensure effective time allocation, while tracking and responding to stakeholder requests and departmental initiatives.
  • Serve as a trusted point of contact for internal and external stakeholders, including clients, advisors, industry leaders, public officials, and community representatives.
  • Coordinate executive-level meetings, events, and travel, including planning, budgeting, scheduling, communications, and logistics.
  • Support departmental budgeting and accounting by monitoring monthly expenditures.
  • Manage and coordinate special projects that advance departmental and organizational priorities.

What We’re Looking For:
  • Administrative professional. You are degreed and have a minimum of five (5) years of relevant administrative/operational support experience. Prior experience supporting senior level executives is a must!
  • Software suite savvy. You are highly skilled with the Microsoft and Google Suite products, comfortability using AI tools is a plus.
  • Diplomatic and discrete. You operate with a high degree of professionalism, discretion, and attention to detail. Interpersonal skills are a strength of yours, fostering strong relationships and maintaining trust with everyone you interface with.
  • Proactive and productive. You have a strong work ethic and commitment to high quality work product. Proactively anticipating needs and the ability to pivot on a moment’s notice will be key to success in this role.

The salary listed reflects the anticipated compensation range for this position. Actual compensation will be determined based on relevant experience, qualifications, location, business considerations, and internal equity. Final offer amounts are determined at the employer’s discretion.
