Job summary

Compass Group USA's ESFM division in Austin, TX is seeking a Space Management Coordinator to manage day-to-day workplace planning, space utilization, furniture inventory, and office relocations. You will coordinate client stakeholders, cross-functional teams, vendors, and onsite porter teams to ensure timely project delivery, safety compliance, and KPI achievement.

The role requires a bachelor's degree in Architecture/Interior Design/Facilities Management and at least two years in space

Qualifications

• Bachelor's degree or equivalent education/experience in related field.
• Minimum 2 years in space management, corporate interiors, or related coordination.
• Proficiency in Autodesk AutoCAD for planning and drawings.
• Strong MS Excel, PowerPoint, and Word for tracking and reporting.
• Experience with furniture inventory management and office relocations.
• Demonstrated project coordination: scheduling, milestones, and resources.
• Experience coordinating teams and vendors; onsite coordination knowledge.
• Knowledge of PTP creation, EHS compliance, and safety procedures.
• Excellent communication, organization, multitasking, and problem solving.

Responsibilities

• Develop and maintain CAD floor plans, seating layouts, and furniture configurations.
• Manage seating assignments, department boundaries, moves, relocations, and resets.
• Coordinate space modifications including cubicles, private offices, conference rooms, and installations.
• Manage furniture, seating, keys, and other workplace service requests.
• Conduct furniture and warehouse inventory audits, reconcile discrepancies, track assets.
• Plan projects with schedules, allocate resources, track milestones, meet deadlines.
• Coordinate vendors, contractors, quotations, deliveries, and installations.
• Prepare Project Task Plans (PTPs) and ensure EHS compliance and site requirements.
• Assign daily tasks, set priorities, and train porter team members; monitor productivity.
• Collaborate with clients and internal teams to coordinate requirements and approvals.
• Maintain trackers, project docs, inventory logs, schedules; prepare monthly KPI reports.
• Monitor KPIs and service levels; analyze trends and drive process improvements.
• Resolve issues, manage competing priorities, and maintain service quality.
