Job summary

Lake Austin Spa Resort is seeking a Reservations Associate to handle guest calls, book reservations, and process gift certificates. You will use Opera and Book 4 Time, confirm availability, and assist with spa scheduling during guests’ stays.

The role emphasizes strong communication, multitasking, and a team-oriented, customer-focused approach. On-site work, with weekends/holidays required, and a commission program based on guest arrivals.

Qualifications

• High school diploma or GED required.
• At least one year of customer service experience.
• Strong communication and listening skills.
• Comfortable speaking with guests while navigating multiple computer systems.
• Proficient with Microsoft Office.
• Detail-oriented with strong organizational skills.
• Ability to work independently and as part of a team.
• Flexible schedule, including weekends and holidays.

Responsibilities

• Answer incoming calls and assist guests with booking reservations.
• Process gift certificate orders.
• Quote rates, explain packages, and confirm appointment availability.
• Accurately enter reservations using Book 4 Time and Opera.
• Assist resort guests with scheduling spa services during their stay.
• Respond to guest questions and requests in a timely and professional manner.
• Recommend additional spa services and activities when appropriate.
• Coordinate special requests with other departments as needed.
• Prepare and send reservation confirmations, brochures, enrollment letters, and other guest correspondence.
• Participate in team meetings and ongoing training.
• Process online reservation requests.
• Confirm upcoming appointments and reservations by phone.
• Stay informed on current promotions, packages, and resort offerings.
• Assist the Sales and Marketing department with special projects and data collection.
• Work independently while maintaining a high level of accuracy and guest service.
