Bechtel renewables team will perform the project management, engineering, procurement, construction, commissioning and startup for the Mammoth South, Central I and Central II project for a 376MW DC each (Total of 1.1GW DC) solar plant in Pulaski County, Indiana.

Job Summary:

Bechtel is seeking a Site Administrative Assistant to provide all-around administrative support to the Mammoth Solar Projects. The work location for this assignment is Pulaski County, Indiana. Relocation assistance is not authorized for this position. The Site Administrative Assistant will report to and receive direction from the Project Manager (PM) and the Project Document Manager (PDM). Responsibilities include collecting and scanning site documents, supporting with timekeeping, and coordinating vehicle maintenance, among others, requiring coordination with the PM and PDM to prioritize work. There is no relocation or per diem authorized for this position. #LI-KL1 #LI-Onsite

The physical work locations will be at 8006 W 600S Francesville IN 47846 and 4618 W 200N Winamac IN 46996, with work conducted in Eastern and Central time zones.

Major Responsibilities:
  • Receives and screens phone calls and visitors, directing them appropriately. Ensures coverage in absence.
  • Maintains a calendar for responsible managers.
  • Coordinates meetings, facilities, equipment, catering; prepares notices, agendas, minutes.
  • Coordinates complex travel arrangements, prepares itineraries and expense reports.
  • Handles requests from clients, managers, and staff.
  • Determines actions on urgent matters or contacts relevant persons in managers' absence.
  • Coordinates project documentation scanning and transmission to the Project Document Manager for input into Aconex.
  • Supports site audits of the document management program and stays current on governance documents and quality requirements.
  • Performs quality self-assessments of documents in Aconex.
  • Reviews and distributes incoming and outgoing mail, manages vehicle logs and parking passes, handles onboarding paperwork, facility coordination, badge issuance, and IT equipment deployment.
Education and Experience Requirements:
  • Requires 1-2 years of related experience.
Required Knowledge and Skills:
  • Right to work in the U.S. without visa sponsorship.
  • Valid driver’s license.
  • Minimum of 5 years office administrative/secretarial experience recommended.
  • Proficiency in Microsoft Office Suite and excellent communication skills.
  • Ability to multitask, meet deadlines, and work overtime as needed.
  • Experience with Aconex or similar systems is a plus; familiarity with Bechtel procedures and construction site experience are advantages.
