Pinnacle 33 Signage Solutions in Conyers, GA is seeking a hands-on Project Coordinator to serve as the central link between Sales, Project Management, Production, Installation, and Accounting. This full-time, in-person role keeps projects moving and supports daily operations.

Key duties include coordinating scheduling, invoicing in QuickBooks, managing accounts receivable, purchasing, and maintaining WIP and reporting.

Formación

• Hands-on QuickBooks experience is required, including customer invoicing and accounts receivable.
• 2+ years of experience in project coordination, operations, or a similar role.
• Strong organizational skills and ability to manage multiple priorities.
• Proficiency in Microsoft Office, particularly Excel and Outlook.
• Experience with project management or ERP software.
• Excellent communication, problem-solving, and follow-through skills.

Responsabilidades

• Coordinate activities across Sales, Project Management, Production, and Installation to keep projects on schedule.
• Assist with production and installation scheduling, tracking milestones, and following up on outstanding tasks.
• Identify bottlenecks, communicate delays, and proactively help resolve issues.
• Prepare and manage customer invoices in QuickBooks, including deposits, progress billing, and final billing.
• Monitor accounts receivable and follow up on outstanding customer payments.
• Assist with material purchasing, purchase orders, vendor coordination, and delivery tracking.
• Support Sales with project documentation, customer follow-ups, and project handoffs.
• Serve as the company's SME for the work order management system.
• Monitor and enforce compliance with established workflows, required documentation, project milestones, and system updates.
• Maintain the company's WIP report, ensuring accurate, timely information for leadership and weekly project reviews.
• Support team members with system usage, training, and process improvements.
• Identify gaps in project information and follow up with responsible team members to ensure accuracy and accountability.
