Job summary

HArts Design+Build in San Jose is seeking a highly organized, proactive office professional to keep our showroom and projects running smoothly. This in-office role starts at 3 days per week, with potential for full-time.

You will greet clients, manage bids, invoices, photos using JobTread, BuilderTrend or CoConstruct, and streamline office processes. A strong customer-service mindset, detail orientation, and reliable car and CA license are required.

Qualifications

• At least 1 year in a busy office environment.
• Proficient with CRM/Project Management software.
• Excellent follow-through and attention to detail.
• Polished appearance and strong communication.
• Valid CA driver’s license, insurance, and reliable car.
• Self-starter who can work independently.

Responsibilities

• Showroom greeter and client information gathering.
• Use JobTread/BuilderTrend/CoConstruct to organize bids, invoices, photos.
• Proactively improve systems to scale the firm.
• Manage Dropbox, binders, and calendars for multiple projects.
• Occasional errands and site visits to maintain momentum.

The Role

This is an in-office position (3 days/week to start) in San Jose. You’ll be the face of our showroom and integral to project documentation.

• Showroom Excellence: Greet walk-ins, gather client info, and maintain a professional, client-ready environment.


• Project Management:UseJobTread(preferred), BuilderTrend, or CoConstruct to organize bids, quotes, invoices, and photos.


• Process Improvement:Proactively build better systems to help our design/remodel firm scale.


• Administrative Mastery:Manage Dropbox files, hard-copy binders, and complex calendars for multiple projects.


• Field Support:Occasional errands and site visits to ensure project momentum.

Who you are

• Experienced: At least 1 year in busy office environment.


• Tech-Savvy:Fast learner with CRM/Project Management software aptitude.
