Job Summary:
As the Showroom Administrator, you act as the face of the brand and the hospitality anchor of our space. You will curate a premium client experience by managing the front desk and ensuring the showroom is always “tour ready.” Additionally, you will provide critical support to the design and sales teams with admin tasks both in the showroom and occasionally in the field.
Key Responsibilities:
- Opening & Closing Protocols: Execute start- and end-of-day checklists. This includes managing showroom lights, locking/unlocking doors, activating digital displays, and preparing the floor for daily traffic.
- Front Desk Hospitality: Serve as the premier point of contact by welcoming guests warmly, smoothly connecting visitors with team members, and providing basic information on product displays.
- Communication & Delivery Hub: Manage multi-line phone routing with professional etiquette while handling all incoming/outgoing mail, courier services, and large vendor deliveries.
- Supply Tracking & Equipment Prep: Monitor inventory to flag potential shortages and assist with ordering office and hospitality supplies. Ensure administrative equipment remains fully stocked and operational.
- Showroom Presentation & Daily Cleaning: Keep the showroom floor, reception area, and conference rooms immaculate by dusting, wiping surfaces, vacuuming, and mopping. Maintain hospitality standards by keeping the refrigerator stocked and emptying trash/recycling bins daily.
- Material, Sample & Catalog Curation: Audit, declutter, and organize the library of material samples, finishes, and catalogs within cabinets and shared workspaces so they remain flawless and easily accessible.
- Vendor & Calendar Coordination: Connect regularly with external brand representatives to secure updated literature/samples. Manage shared calendars to schedule meetings, presentations, and product updates.
- Lead Pipeline Management: Monitor and manage incoming contact from leads received through the website. Proactively greet and qualify walk-in prospects on the showroom floor, gauge appropriate time spent, and handle the "Ups List" distribution. Track all incoming prospects and seamlessly hand off high-potential opportunities to an Account Executive to maximize sales conversion.
- Warranty Claims Administration: Process manufacturer warranty requests from initial intake to final resolution. Coordinate with clients and sales team to efficiently collect documentation and photo evidence, submit formal claim submissions, and track manufacturer progress.
- Cross-Functional Team Support: Provide crucial admin backup to the design and sales groups by assembling product sample kits and printing CAD drawings, while remaining agile to join the teams in the field to assist as needed or handle other duties as assigned by management.
Requirements:
- High school diploma or equivalent.
- Previous administrative, receptionist, office support, or customer-facing hospitality/retail experience.
- Possess excellent oral, written, and interpersonal communication skills throughout all levels of an organization.
- Highly developed organizational and multitasking skills to handle a variety of clerical tasks efficiently.
- Knowledge of Microsoft Office products and office equipment (i.e. printer).
- Maintain a polished, professional image, and a warm, courteous demeanor.
Preferred Qualifications:
- Minimum of 1-2 years of experience in retail, hospitality, or showroom environment.
- Familiarity with commercial contract furniture brands, architectural finishes, or basic interior design concepts.
Physical Requirements:
- Prolonged periods of sitting at a desk working on a computer and using the telephone.
- Standing, walking, moving, and stretching for extended periods of time.
- Often bending, stooping, kneeling, crouching, twisting, reaching, and at times climbing a ladder.
- Ability to lift, carry, push, or pull up to 40 pounds regularly.
- Occasional use of basic tools (e.g., screwdrivers, hammers, box cutters) for unpacking and/or building chairs
