Job Title: Parts Clerk
Department: Shops
Reports to: Shop Foreman


Overview of Roles & Responsibilities:

This position reports directly to the Shop Foreman and will be responsible for ordering required parts and materials needed by Shop Personnel in coordination with the Shop Foreman. In addition, this position requires the Parts Clerk to take ownership of the Parts Room, making sure that all parts are stored neatly, in the correct location and that the parts room stays clean and organized. For a more detailed summary of daily/weekly tasks required to be completed by this position see below.

Description of Duties and Responsibilities:

  • Ensure a safe work environment in compliance with all safety policies and procedures using the appropriate tools and equipment for the task.
  • Check in with Shop Foreman daily to see what assistance is needed.
  • Order and schedule all parts deliveries as directed by the Shop Foreman based on Mechanics / Fuelers needs.
  • Utilize the most effective suppliers.
  • Generate and issue material purchase ordersfor all parts orders.
  • Responsible for keeping the parts room neat and organized, this includes taking regular inventory and placing orders as necessary for parts that are to be stocked on a regular basis. This is to be approved by the Shop Foreman.
  • Responsible for tracking all parts orders, this includes the following:
    • Scheduling delivery dates based on the needs as determined by Shop Foreman and Mechanics.
    • Track parts orders to verify that all parts arrive on time.
    • Immediately following receipt of parts, verify that material delivered matches what was ordered.
    • Notify Shop Foreman / Mechanic following receipt of the ordered parts.
    • If the Shop Foreman or Mechanic does not need the ordered part or parts immediately, it is the Parts Managers responsibility to store the part in the Parts Room.
  • Ensure that Branscome AP receives copies of all material/parts invoices.
  • Code material/parts invoices on a daily/weekly basis.
  • Perform all other duties deemed necessary or assigned.
Parts Manager Requirements and Qualifications:
Skills Required:
  • Minimum of 1-3 years of experience.
  • Effective communication and organization skills.
  • Microsoft Office experience - Word, Excel, PowerPoint.
  • Mechanical aptitude.
  • Valid Driver’s License in good standing.
Education:
  • High School Diploma.
Software:
  • Microsoft Office – Word, Excel, PowerPoint. Proficient in Word and Excel.
  • Familiar with Vista or other accounting software packages.
  • Knowledge of or be familiar with HCSS E360 or other Shop Maintenance software packages.
Physical Demands:
  • Job requires the following motions: Standing, Walking, Sitting, Driving, Stooping, Climbing, Reaching, Kneeling, Carrying, Lifting, Pulling.
