United Alloy in Janesville, WI is seeking a Shipping Administrator to coordinate outbound shipments within a fast-paced steel fabrication environment. You’ll align schedules with production, prepare packing slips and bills of lading, and ensure compliant shipping documentation for both external customers and internal transfers.
The role requires 2+ years in shipping/logistics, a high school diploma, forklift experience, and familiarity with ERP systems and MS Office.

The Shipping Administrator plays a key role in coordinating all outbound shipments—both to external customers and internal UA facilities. This position ensures accurate scheduling, documentation, and execution of shipments while aligning with customer requirements and internal processes. You’ll work closely with production, operations, and logistics partners to ensure timely and efficient movement of product in a fast-paced steel fabrication environment.
Monday – Friday - 6:00 AM – 2:00 PM or 7:00 AM to 3 PM (OT as required)

Develop and manage daily shipping schedules for outbound freight.
Coordinate with carriers and internal teams to align ship dates with production completion timelines.
Attend pre-SOP meetings to ensure carrier schedules match production expectations.
Arrange outbound shipments for external customers and internal site-to-site transfers, ensuring compliance with specific customer requirements.
Coordinates all trucking logistics with multiple third party and customer freight entities.
Prepare and verify packing slips, bills of lading, and other shipping-related documentation prior to product dispatch.
Utilize customer portals to meet shipping documentation and labeling requirements in a timely manner.
Ensure proper packaging methods are followed according to company standards and customer
Work closely with the production control team to advance serialized products into finished goods for shipment.
Collaborate with Production Supervisors and shipping team to ensure timely completion and readiness of finished products.
Act as the direct POC (point of contact) for shipping inquiries and provide leadership support in the absence of the Shipping Supervisor.
Assist in maintaining accurate finished goods inventory records by providing job numbers, serial numbers, and customer order details as needed.
Support continuous improvement efforts to enhance shipping accuracy, efficiency, and cost-effectiveness.
Identify and address potential shipping delays, escalating issues as needed to meet customer commitments.
Maintain compliance with safety and quality standards related to shipping and handling of finished goods.
Perform other duties as assigned to support shipping operations and overall logistics efficiency.
2+ years of experience in shipping, logistics, or material management within a manufacturing or steel fabrication environment preferred.
High school diploma or equivalent required; additional certifications in logistics or supply chain preferred.
Proficiency in preparing shipping documentation such as bills of lading and packing slips.
Familiarity with Windows based computer environment, with use of Microsoft Office including Outlook, Excel, and Word.
Ability to navigate logistics software, ERP systems, and customer portals.
Knowledge of packaging methods and compliance with industry shipping regulations.
Must have forklift operation experience.
Strong attention to detail and organizational skills.
Effective communication and problem-solving abilities.
Ability to work independently and as part of a team in a fast-paced environment.
Ability to stand, walk, or sit for extended periods.
May require occasional lifting of materials up to 50 lbs.
