Job summary

Depot Connect International is looking for a Service Writer to ensure high-quality customer service and support in person, over the phone, or by e-mail. You will quote service work, sell additional services, provide timely updates to customers, and notify them when quotes and work are completed with final pricing.

The role requires maintaining complete job files, tracking technician time, creating repair orders, and coordinating parts to meet job specs.

Qualifications

• Must have strong customer service skills and be self-starting.
• Excellent organizational and time-management abilities are required.
• Detail oriented with strong written and verbal communication.
• HS diploma required; further degrees are a plus.

Responsibilities

• Maintain complete job files including approvals and correspondence.
• Track technician time and submit payroll data bi-weekly.
• Create repair orders with customer concerns and contact/unit info.
• Prepare repair orders for service manager; finalize invoicing and filing.
• Maintain job files with pertinent correspondence for each job.
• Perform daily yard checks and update the customer accordingly.
• Update daily KPIs (electronic and printed) for posting in the shop.
• Interact with service management and technicians.
• Ensure fabrication materials are stocked and available.
• Allocate and pull parts for repair orders; research and order parts.
• Pickup parts as needed.

The Service Writer ensures quality customer service and support in person, via phone, or e-mail. This often includes quoting service work, selling additional services, updating the customer in a timely manner, contacting the customer when quotes and/or work is completed with final pricing.

ESSENTIAL JOB FUNCTIONS:

• Support the service team by maintaining complete job files, including correspondence relative to approvals, etc.,, which tie back to more prompt payment(s).
• Technician time keeping and review on a daily basis; submittal to payroll bi-weekly.
• Creation of repair orders to include customer concerns, contact info, unit info, etc.
• Prepare repair orders review for service manager; finalize shop invoicing; mailing and filing of same.
• Maintain job files with all pertinent correspondence to each job.
• Daily yard checks and logs and update the customer accordingly
• Update daily key performance indicators (electronic and printed) to be posted in the shop.
• Interact with service management team, and technicians.
• Ensure fabrication materials are readily available in stock
• Allocate and pull parts for repairs orders
• Research and order parts to job spec
• Pickup parts as needed

QUALIFICATIONS:

• High School Diploma required; Associates or Bachelor's degree a plus
• Prefer at least 5+ years’ experience in a similar role
• Self-starter with excellent customer service skills
• Strong organizational and time management skills
• Detail oriented
• Strong written and verbal communication skills
