Depot Connect International (DCI) is seeking a Service Writer to be the face of the company, handling customer support via phone, email, and in person. You will quote services, upsell where appropriate, and provide real-time updates through the service lifecycle, including final billing.

The role requires coordinating with Service Management and Technicians to keep projects on schedule, manage parts and inventory, and ensure accurate documentation for smooth payments.

Qualifications

• Education: High School Diploma required; higher degrees preferred.
• 5+ years of experience in a service-oriented or industrial role.
• Strong written and verbal communication with a customer-first mentality.

Responsibilities

• Act as the primary point of contact for inquiries via phone, email and in person.
• Generate quotes, identify opportunities for additional services and communicate updates through billing.
• Create and manage repair orders, conduct yard audits and maintain shop logs for efficiency.
• Research, procure, and allocate parts; support fabrication by ensuring materials are ready.
• Track technician timekeeping for payroll and monitor KPIs in the facility.
• Prepare and finalize shop invoices with complete documentation for prompt payment.

Service Writer Role

The Service Writer is the face of DCI, ensuring customer support via phone, email, and in-person interactions. This role is pivotal in managing the service lifecycle—from initial quoting and upselling to providing real-time updates and finalizing billing.

Essential Job Functions

• Customer Management: Act as the primary point of contact for all inquiries. Provide accurate quotes, identify opportunities for additional services, and maintain communication through final payment.
• Workflow Coordination: Generate detailed repair orders, conduct daily yard audits, and maintain shop logs to ensure maximum operational efficiency.
• Production Liaison: Serve as the vital link between Service Management and Technicians to ensure projects remain on schedule and meet quality standards.
• Parts & Inventory Management: Research, procure, and allocate parts according to job specifications. Support the fabrication team by ensuring all necessary materials are staged and ready.
• Administrative Oversight: Manage technician timekeeping for weekly payroll submittal and track daily Key Performance Indicators (KPIs) to be displayed within the facility.
• Invoicing & Documentation: Prepare and finalize shop invoices. Maintain comprehensive job files, including all correspondence and approvals, to ensure prompt processing and payment.

Qualifications

• Education: High School Diploma required; Associate’s or Bachelor’s degree preferred.
• Experience: 5+ years of experience in a similar service-oriented or industrial role.
• Technical Skills: Proficient in administrative tasks, time management, and organizational workflows.
• Interpersonal Skills: A self-starter with exceptional written and verbal communication skills and a "customer-first" mentality.

Work Environment

• Active Role: This position requires frequent movement between the office and the yard for vehicle and tank inspections.
• Safety First: We prioritize your well-being. Safety glasses and steel-toe boots (PPE) are required at all times when working in shop areas.
