Job summary

TK Elevator in Evansville, IN is seeking an experienced Operations Coordinator- Service to handle administrative duties for the service operations group. You will support payroll, accounts payable, vendor management, and data reporting while coordinating with dispatch and field staff.

The role involves maintaining documentation, processing safety audits, and assisting with IT equipment and device management across the service department. Strong organizational skills are essential.

Qualifications

• Must have a high school diploma or GED, or a short technical certificate, or 3–6 months of related admin training.
• Some elevator repair administrative experience is preferred.
• Oracle database knowledge is a plus.

Responsibilities

• Performs Install Base maintenance as needed and creates safety inspection tickets.
• Updates on-call lists and notifies Dispatch daily; checks in/out technicians and communicates with Dispatch and supervisors.
• Provides status to National Accounts and customers on open work orders and completed callbacks; updates monthly work order numbers.
• Liaisons between branch operations and regional dispatch; maintains shared calendars for dispatch with field attendance and work scheduling.
• Tracks operations systems and tool audits.
• Assists mechanics with IT downloads and data entry into systems; orders phones and tools for service department.
• Supports safety meetings and maintains documentation.
• Completes manual payroll entry forms and DVR processing; corrects costs.
• Creates parts requisitions and receives parts; reviews invoices awaiting payment.
• Runs reports for Service Manager (Account History, pre-invoicing, high-profile accounts, etc.).
• Sends copies of down payment checks to regional AR; submits checks to lockbox.
• Creates safety inspection tickets and ensures they’re not misclassified as PM tickets.
• Assigns tickets to mechanics as needed.
• Compiles data for legal (First Report of Incidents, etc.).
• Prepares badging applications and orders uniforms.
• Prepares special reports for high-profile customers with updates and requests for information.
• Reviews Work in Progress reports and submits to regional billers.
• Reviews invoice on-hold reports and coordinates with Regional Procurement to fix.
• Opens and distributes mail and faxes.
• Codes AP invoices and forwards to Oracle Invoice email.
• Manages vehicles and submits change forms to LeasePlan.

Education
