Roland Machinery Company in Minnesota seeks a Service Department Administrator to support daily operations, input technician hours, process service work orders, and manage invoicing accuracy.

Responsibilities include warranty write-ups, coordinating parts and deliveries, monitoring vendor invoices, and maintaining service data while upholding professional communication with the parts, service, and sales teams.

Qualifications

• High School diploma or G.E.D. required.
• Experience in heavy equipment, heavy truck, or auto industry preferred.
• Must have an insurable driving record.
• Excellent organizational and time management skills.
• Solid verbal and written communication skills.
• Professional communication with parts, service, and sales staff; maintain professionalism under stress.
• Ability to lift up to 75 pounds and handle physical tasks.

Responsibilities

• Post hourly labor hours for technicians to work orders and payroll spreadsheets.
• Create and manage work orders to track parts, labor, and charges for invoicing.
• Process warranty write-ups and forward claims to Warranty Administrator.
• Review outside vendor invoicing related to service repairs and assets.
• Coordinate parts and service safety meetings with the Service Manager.
• Handle branch phone and walk-in customer traffic with urgency and empathy.
• Support Service Manager in absence and ensure smooth department activity.
