THE COLLECTION invites you to join as a Service Loaner Concierge. You will welcome clients, handle check-ins, and manage loaner vehicles to ensure a premium, seamless experience aligned with Jaguar and Land Rover brands.

Role emphasizes meticulous documentation, CRM usage, and coordination with service teams to maintain availability and uphold the dealership’s standards of excellence.

Qualifications

• Previous service experience with car rental agency or body shop.
• Polished and professional demeanor in all client interactions.
• Strong organizational skills and attention to detail.
• Ability to multi-task with a client-first mindset and elevate service experiences.
• Valid Florida Driver License.

Responsibilities

• Welcome clients with a warm, professional first impression reflecting the luxury brands.
• Check in clients, verify licenses, insurance, and rental/loaner agreements per policy.
• Maintain client information in the dealership CRM/DMS.
• Explain loaner vehicle policies, terms, and return procedures.
• Inspect and photograph vehicles before/after use, note any damage, mileage, fuel.
• Maintain loaner vehicle logs and assignments in the DMS.
• Coordinate with service advisors on appointments, status, and availability.
• Arrange client transportation as needed.
• Monitor loaner inventory and readiness for customers.
• Ensure loaner area is clean, organized and secure.
• Follow dealership policies, safety rules, and privacy requirements.
• Perform other duties as assigned by management.

What You’ll Do:

• Welcome clients and provide a warm, professional first impression that positively reflects the luxury brand and THE COLLECTION.
• Check in clients, verify appointments, customer identification, valid driver’s licenses, insurance information, and required rental or loaner agreements in accordance with dealership policies.
• Accurately maintain customer information within the dealership’s CRM/database.
• Provide explanations of loaner vehicle policies, terms, conditions, fuel requirements, mileage limitations, and return procedures.
• Inspect and photograph vehicles before and after each use, documenting existing damage, mileage, fuel level, tolls, and overall condition.
• Maintain accurate loaner vehicle logs, customer records, agreements, and vehicle assignments in DMS (CDK).
• Coordinate with service advisors regarding customer appointments, repair status, loaner availability, and anticipated return dates.
• Schedule client transportation as needed and/or required.
• Monitor loaner vehicle inventory and availability to ensure vehicles are properly assigned and ready for customers.
• Coordinate and assist with vehicle cleaning, fueling or charging, and general readiness between customers.
• Handle call and customer overflow for Service Department
• Track overdue vehicles and contact customers regarding scheduled returns in accordance with dealership procedures.
• Collect payment, if required.
• Report accidents, damage, maintenance needs, traffic violations, and other vehicle-related issues to management promptly.
• Assist with moving, parking, delivering, picking up and organizing loaner vehicles safely.
• Ensure all loaner vehicles are secured, and dealership keys are properly controlled.
• Maintain a clean, organized, and professional loaner vehicle area.
• Follow dealership policies, safety procedures, privacy requirements, and applicable laws.
• Perform other duties as assigned by management.
• Uphold THE COLLECTION’s standard of excellence in every interaction.

What We Seek:

• Previous service experience with car rental agency or body shop.
• Exceptional communication skills with a polished and professional demeanor.
• Strong organizational skills and attention to detail.
• Ability to work effectively and efficiently with clients, vendors, and employees while multi-tasking with a client-first mindset and a passion for delivering elevated service experiences
• Microsoft Office suite experience.
• Positive, driven, and team-oriented professionals
• Bilingual (English/Spanish)
• Valid Florida Driver License.
• Flexible schedule with ability to work 40+ hours Monday – Saturday, as needed
