• Work Order Management: document orders, track open service calls, verify completion and obtain approvals.
• Team Coordination: communicate with field technicians and vendors, collaborate with Facilities Manager on priorities and workload.
• Administrative Support: maintain service records, assist with reporting and invoicing duties.

JG Facilities is seeking an organized, customer-focused Construction Service Dispatcher to support our commercial Facilities Division. This position coordinates service work for commercial construction, electrical, and facility maintenance projects by dispatching field technicians, scheduling service calls, coordinating materials, and communicating with customers throughout the lifecycle of each job.

The ideal candidate has previous experience dispatching in a construction, facilities maintenance, electrical, plumbing, HVAC, or similar trade environment and understands the fast-paced nature of coordinating field service operations.

Essential Duties & Responsibilities

Dispatch & Scheduling

• Receive incoming service requests by phone, email, and customer portals.
• Create and manage work orders within the company's service management software.
• Schedule and dispatch technicians based on location, skillset, availability, and job priority.
• Coordinate emergency service calls and adjust schedules as needed.
• Monitor technician schedules throughout the day and make real-time adjustments.

Customer Service

• Serve as the primary point of contact for customers regarding service requests.
• Maintain regular communication with customers regarding appointment times, delays, and job status.
• Provide professional and timely responses to customer inquiries.
• Ensure customers receive exceptional service throughout the repair process.

Work Order Management

• Maintain accurate documentation of work orders, technician notes, labor, and service updates.
• Track open service calls through completion.
• Verify completed work orders before closing them.Assist with obtaining customer approvals when required.

Team Coordination

• Communicate effectively with field technicians throughout the day.
• Coordinate with vendors when outside services are required.
• Work closely with the Facilities Manager regarding technician workload, scheduling priorities, and customer needs.
• Escalate service issues requiring management attention.

Administrative Support

• Maintain organized service records and customer information.
• Assist with reporting, scheduling metrics, and service documentation.
• Support invoice processing by ensuring work order information is complete and accurate.
• Perform other administrative duties as assigned.

Qualifications

Required

• High School Diploma or GED.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office (Outlook, Excel, Word).
• 2+ years of dispatching, scheduling, or service coordination experience, preferably supporting commercial construction, facilities maintenance, electrical, plumbing, HVAC, or other skilled trade service operations.

Preferred

• Experience with dispatching or work order software (Sage Field Operations, ServiceChannel, or similar).
• Working knowledge of construction materials and terminology.
• Bilingual (English/Spanish) is a plus.
