Job summary

Gallo Mechanical Services is seeking a Customer Service Representative to support the service department by coordinating calls, dispatching technicians, and serving as the primary liaison among customers, technicians, and internal teams.

The CSR will help ensure timely service delivery, accurate documentation, and high customer satisfaction, working closely with service management and billing to maintain records and support efficient workflow.

Qualifications

• High school diploma or equivalent required.
• 2+ years of customer service/dispatch/administrative experience in field service environment.
• Proficiency in Microsoft Office and ERP systems.
• Strong organizational and time-management skills.
• Excellent verbal and written communication.

Responsibilities

• Answer service-related calls and emails promptly.
• Coordinate, schedule, and dispatch service calls.
• Act as liaison between customers, technicians, and internal teams.
• Prepare daily technician schedules by 4:30 p.m.
• Support administration including purchase orders and work orders.
• Review and correct time entries; escalate as needed.
• Monitor work orders and quotes to ensure timely completion.
• Schedule and book approved quoted service jobs and document data entry.
• Maintain records related to customer requests, service work, and dispatch activity.
• Collaborate with Billing Analyst on open purchase orders.
