Job summary

Ohio CAT, a division of Ohio Machinery Co., is seeking a service coordinator to manage work orders, time entry, and service reports in Service Link. The role includes scheduling, handling customer PO requests, and coordinating with warranty and parts teams, with a focus on accuracy and timely follow-up.

The ideal candidate will have strong computer skills, excellent organization, and a customer-service mindset to support multiple branches in a fast-paced environment.

Qualifications

  • High School Diploma or equivalent required.
  • Prior experience in a service department is preferred.

Responsibilities

  • Open work order headers and segments in Service Link and manage related clerical tasks.
  • Enter technician time and service reports into Service Link accurately.
  • Schedule PSP/PIP work and coordinate customer purchase orders.
  • Communicate with warranty groups, parts personnel, and payroll/scheduling as needed for claim closure.

JOB SUMMARY:

The service coordinator will be deeply involved in the work order process including opening work order headers and segments in Service Link, technician time entry into Service Link, receiving and entering technician service reports into Service Link, scheduling PSP/PIP work, customer purchase order requests, filing to history files, warranty claim pre-prep, coordination, follow-up and communication with central warranty group and parts personnel through to claim closure, as well as clerical work such as payroll and scheduling.


COMPETENCIES:

  • Strong computer skills, including typing and keyboarding skills of at least 60 words per minute, and the ability to use MS Word and Excel.
  • Superior organizational skills, and works well with multiple people, as they will be communicating with various branches and departments.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Must have good decision-making and a strong desire for follow-up and attention to detail.
  • Excellent customer service skills are required.

JOB QUALIFICATIONS:

  • High School Diploma or equivalent is required.
  • Prior experience in a service department is preferred.

PHYSICAL REQUIREMENTS:

Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to communicate to exchange information verbally. The noise level in the work environment is usually quiet in office settings and moderate to loud in other situations, with both constant and sudden loud noises possible.
