Job summary

Greeley Volkswagen seeks a service-advisor-minded professional to manage customer interactions, schedule repairs, and coordinate with technicians and parts staff. You will provide clear repair paths, document vehicle symptoms, and prepare cost estimates with MPI and video to customers using Xtime.

Ideal candidates have excellent communication and customer service skills, a fast learning pace, and a desire for a long-term career in a growing dealership.

Qualifications

• Valid driver’s license required.
• Experience in service advisory roles is a plus.

Responsibilities

• Answer incoming calls and schedule appointments based on shop capacity.
• Write purchase orders for internal repair orders and sublets.
• Provide a clear path to repair so the customer understands the process.
• Communicate with technicians and parts department regarding repair status daily.
• Submit extended warranty claims correctly and ensure documentation for reimbursement.
• Greet customers promptly and obtain vehicle information.
• Clearly report all vehicle symptoms as described by the customer.
• Determine and recommend needed maintenance based on age, mileage and history.
• Prepare a complete and accurate estimate of labor and parts costs; send MPI/video to customer via Xtime.
• Establish follow-up times and monitor progress of each vehicle throughout the day.
• Verify that final invoice reconciles with work performed and explain completed work to customers.

RESPONSIBILITIES:

• Answer incoming calls and schedule appointments based on shop capacity.
• Write purchase orders as needed for internal repair orders and sublets.
• Provide a clear path to repair so the customer understands the process.
• Communicate directly with the technicians and parts department regarding repair status daily, and provide regular updates to the customer.
• Submit all extended warranty claims correctly and ensure proper documentation for reimbursement

• Once available prepare a complete and accurate estimate of cost for labor and parts send video and MPI to customer via Xtime

• Monitor the progress of each vehicle throughout the day, and updating customers frequently
• Verify that the final invoice reconciles with the work performed on the repair order
• Explain all completed work and charges to customers and verify they received the MPI and Video.
• Walk Guest to vehicle and verify the service experience was exceptional

REQUIREMENTS:

• Are a fast learner
• Have excellent written and verbal communication skills
• Have excellent customer service skills

• Are computer literate
• Have a valid driver’s license
• Proven record of achieving exceptional Customer Satisfaction
• Past experience as a Service Advisor, Assistant Lane Manager or Service Consultant is a must
• Above average energy level
• A desire for a long term career with a growing organization
• Personal and professional integrity
• Dealertrack and Xtime DMS experience a plus
