Job summary

Gartner, Inc. in the United States seeks a Senior Planner, External Speaker Management Logistics to oversee keynote speaker logistics for Gartner Conferences.

The role coordinates contract needs, AV, materials, recording permissions, and VIP opportunities while ensuring a seamless onsite experience. The Senior Planner will manage pre-conference planning calls, liaise with speakers and internal teams, and confirm travel, accommodations, and itineraries.

Qualifications

• Bachelor’s Degree preferred; 3+ years in event planning and logistics
• Exceptional organizational skills and attention to detail
• Ability to build processes and realize best practices
• Strong executive presence
• Excellent customer service and communication skills
• Willingness to travel ~20% (6–8 conferences annually)

Responsibilities

• Coordinate speaker needs: AV, presentation materials, recording permissions, VIP opportunities
• Communicate speaker updates to internal stakeholders for alignment
• Schedule and conduct pre-conference planning calls with speakers and stakeholders
• Confirm marketing materials, travel, accommodations, and itineraries for keynote speakers
• Liaise with speakers and stakeholders to set expectations and ensure satisfaction
• Maintain relationships with vendors and service providers for high-quality delivery
• Host guest speakers and manage onsite experience
• Troubleshoot issues throughout planning and onsite phases
• Stay informed about current events and speakers in tech and business
