We are seeking a polished, service-oriented Senior Receptionist / Concierge to lead the daily front‑of‑house experience at the corporate headquarters. As the first point of contact for clients, visitors, executives, and employees, this individual will deliver a welcoming, professional, and highly organized reception experience while maintaining front desk standards, supporting meeting and visitor operations, and partnering closely with Facilities, Security, Meeting Services, Executive Assistants, IT, and building management.
Provide professional, high‑touch reception and concierge‑level service five days per week, serving as the first point of contact for clients, visitors, executives, employees, and vendors. Welcome guests, verify arrivals, notify hosts, coordinate visitor access, and maintain a polished and secure front desk experience in accordance with firm and building procedures. Manage visitor badges, access processes, and visitor records with accuracy, discretion, and attention to confidentiality. Maintain a client‑ready front‑of‑house environment, including reception, lobby, conference rooms, café/bar areas, guest restrooms, elevator lobbies, and seating areas. Conduct daily opening, closing, and readiness checks to ensure client‑facing spaces are organized, clean, stocked, and professionally presented. Partner with Meeting Services to monitor room reservations, assist with conference room assignments, support room turnover, and help ensure efficient space utilization. Support client meetings, executive and board meetings, and firm events by confirming visitor arrival details, room readiness, catering coordination, signage, and audio/visual support needs. Coordinate with Facilities, Security, IT, Executive Assistants, building management, catering, janitorial, mail/package services, and other vendors to resolve issues and support daily headquarters operations. Promptly process delivered packages, route items to designated areas, and notify recipients upon arrival. Provide basic support to employees and clients with conference room technology and virtual meeting platforms, escalating to IT or submitting tickets through designated service channels when needed. Assist with emergency procedures, incident escalation, evacuation support, and communication with Facilities, Security, and building management as appropriate. Perform administrative support tasks, including data entry, document retention, visitor reporting, compliance, project task follow‑up, and other duties assigned by manager.
Prior experience in corporate reception, hospitality, concierge, facilities support, administrative services, or a similar client‑facing role required. Experience in financial services, professional services, law firm, private equity, asset management, or another high‑touch corporate environment preferred. Demonstrated ability to provide polished, professional service to senior leaders, clients, board members, investors, and other VIP visitors. Strong interpersonal skills, sound judgment, discretion, confidentiality, and professionalism. Highly organized and detail‑oriented, with the ability to prioritize competing responsibilities in a fast‑paced headquarters environment. Positive, proactive, and service‑oriented approach with a strong record of punctuality, dependability, and follow‑through. Strong verbal and written communication skills, including the ability to communicate clearly with employees, visitors, vendors, and leadership. Comfortable using workplace technology, including visitor management systems, badge/access systems, room reservation tools, Microsoft Outlook, Microsoft Teams, Zoom, Slack, and related service or ticketing platforms. Ability to remain onsite five days per week and provide consistent front desk coverage during business hours. Ability to move throughout the office to support reception, meeting rooms, client‑facing spaces, package handling, supply checks, and general front‑of‑house readiness.
