Job description

Job Summary

The Receptionist provides general office support through various clerical activities and related tasks. Responsibilities include answering incoming calls, greeting visitors, and directing them appropriately.

Job Responsibilities
  1. Engage with high-profile VIP clients and guests in a warm and professional manner, checking them in at the reception and escorting them to their destinations.
  2. Understand the client culture and activities to serve as an extension of the client, maintaining transparency.
  3. Manage visitor greeting processes and stay updated on daily meetings and changes.
  4. Act as the first point of contact for activities and emergencies, remaining alert and responsive.
  5. Handle challenges within the conference center, resolving issues or escalating as necessary.
  6. Inspect room appearance and coordinate with Building Operations to maintain facilities.
  7. Manage meeting room bookings using the reservation system, optimizing space utilization.
  8. Answer switchboard calls, direct calls, and manage messages.
  9. Oversee conference room activities, including reservations, attendee management, and catering orders.
  10. Coordinate with internal support departments for maintenance, IT, AV, and mail services.
  11. Understand and execute emergency procedures when required.
