Job Summary

The Receptionist provides general office support via a variety of clerical activities and related tasks. Answer incoming calls and directs calls to appropriate associates. Greets and directs visitors.


Job Responsibilities:

  1. Speak freely and warmly, engaging high profile VIP clientele and guests while efficiently checking them in at the Reception Desk and escorting them to their destination.
  2. Develop and maintain an understanding of the client culture and key areas of activity.
  3. Manage closely all activity in the internal visitor greeting process, being knowledgeable on all daily meetings and up to the minute changes.
  4. Act as the first point of contact for all activities and emergencies, always remaining alert.
  5. Serve as point person, taking ownership of any challenges that may arise within the conference center.
  6. Conduct overall room appearance inspections and work with Building Operations to maintain facilities.
  7. Handle meeting room bookings and focus on the strategic assignment of meeting space.
  8. Answer global switchboard calls, direct calls, and manage message receipt and delivery.
  9. Handle on-floor conference room activities and advise appropriate staff members of changes.
  10. Communicate requests to appropriate internal support departments.
  11. Have a thorough understanding of the Firm’s emergency procedures and be prepared to carry out designated tasks.
