Job Summary

The Receptionist provides general office support through clerical activities and related tasks. Responsibilities include answering and directing calls, greeting visitors, and managing meeting and conference room logistics.

Job Responsibilities
  1. Engage warmly with visitors, including high-profile VIPs, and efficiently check them in and escort them to their destinations.
  2. Develop an understanding of the client culture and act as an extension of the client to create transparency.
  3. Manage visitor activities and stay updated on daily meetings and changes.
  4. Serve as the first point of contact for emergencies and other activities, remaining alert at all times.
  5. Handle challenges within the conference center, resolving issues or escalating as needed.
  6. Inspect and maintain the appearance of the rooms and facilities, coordinating with Building Operations.
  7. Manage meeting room bookings using reservation systems, optimizing space utilization.
  8. Answer switchboard calls, direct calls, and handle messages.
  9. Oversee conference room activities, including managing reservations, attendees, and catering requests.
  10. Coordinate with support departments like maintenance, IT, and mail services.
  11. Understand and be prepared to execute emergency procedures.
